Job Title: Part-Time Administrative Assistant

Location: Washtenaw County, MI (Ypsilanti, Hybrid work)

About Us: Life After Incarceration: Transition & Reentry (LAITR) is a registered 501(c)(3) nonprofit organization dedicated to improving the health, wellness, and quality of life for justice-involved individuals. We provide holistic occupational therapy services to those currently and formerly incarcerated, helping them develop new habits and routines to overcome barriers and live meaningful lives. Our mission is to promote equitable opportunities for growth and prevent individuals from getting stuck in the cycle of racism, poverty, ill health, and trauma.

LAITR has a newer work program called Supportive Hands in Neighborhood Enhancement (SHINE) that employs justice-impacted individuals (JII) that provide litter clean-up and beautification of Ypsilanti Township and Downtown Ypsilanti.

Position Overview: We are seeking a highly organized and proactive Part-Time Executive Assistant and Project Coordinator to support our administrative team relating to the SHINE program. The position is up to 20 hours per week and involves multiple communication, organizational and tracking responsibilities related to SHINE such as invoicing, reporting, managing a small budget and communication with the work crew and team lead. Responsibilities may also include in-person to drop off physical checks or other inventory-related items. The ideal candidate will have excellent communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role offers a unique opportunity to contribute to a meaningful cause while gaining valuable experience in nonprofit management and executive support. Hours will likely be split into up to 4 hours p/day with main times being between 7-10am and/or 1-3pm depending on the day. **APPLICANTS MUST LIVE IN WASHTENAW COUNTY**

Key Responsibilities:

Provide administrative support to the executive team and SHINE, including:

- Obtaining mileage weekly from SHINE crew and reimbursing as necessary

- Obtaining weekly schedules, hours, tracker and inventory from SHINE crew and entering into our system

- Tracking and managing excused and unexcused absences of SHINE crew and communicating with them accordingly

- Creating and sending monthly SHINE reports to partners

- Track and upload performance reviews for SHINE crew

- Creating monthly invoices, biweekly payroll, requests for advances and other related tasks

- Handle finances and budget with gas reimbursement, obtaining and delivering equipment to team as needed

- Handle confidential information with discretion and professionalism

- Maintain and update organizational files and records for onboarding and discharging employees

-Perform other administrative tasks as needed to support the smooth operation of the organization

Qualifications:

Proven experience as an executive assistant or in a similar administrative role.

Excellent organizational and time-management skills.

Strong written and verbal communication skills.

Proficiency in Google Drive resources (Excel, Word).

Ability to work independently and as part of a team.

High level of discretion and professionalism.

Passion for social justice and commitment to LAITR's mission.

Experience in a nonprofit organization is a plus.

High level of self-initiation and motivation to help the organization grow.

Experience with grant-writing is a plus.

Flexible availability.

Live in Washtenaw County, MI.
