As a Mitigation Project Coordinator, you’ll be the calm in the storm, guiding clients through the restoration process and helping them get their lives back on track. This is a key administrative and operational role on our team, and we’re looking for someone sharp, organized, and compassionate—someone who thrives under pressure and genuinely cares about helping others.
What You'll Do
- Coordinate all day-to-day activities for assigned mitigation projects
- Serve as the main point of contact for homeowners and clients
- Schedule and manage technicians, project timelines, and job updates
- Maintain accurate and up-to-date documentation in job management software
- Organize and maintain digital and physical project files and records
- Prepare reports, job summaries, and billing documentation for internal and external use
- Ensure timely and professional communication with clients, vendors, and insurance adjusters
- Assist in maintaining compliance with insurance program requirements and internal protocols
- Support Project Managers with job costing, material ordering, and resource tracking
- Manage administrative tasks such as data entry, email correspondence, scheduling, and meeting coordination
- Process incoming paperwork (e.g., work authorizations, permits, inspection reports) and track follow-ups
- Conduct final walk-throughs and ensure full customer satisfaction
- Handle customer concerns with professionalism and empathy
- Estimate emergency services billing and negotiate scopes with adjusters
- Support A/R collections, reconstruction, and other departments as needed
- Occasionally assist in marketing and business development initiatives
What You Bring
- 1–2+ years of relevant experience preferred (restoration or construction industry a plus)
- High school diploma or equivalent (college or administrative coursework a plus)
- Strong administrative, organizational, and time-management skills
- High attention to detail with ability to track multiple moving parts
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with CRM or job management software preferred (e.g., DASH, Xactimate, PSA)
- Ability to work independently and as part of a team in a fast-paced environment
- Problem-solver with a proactive, team-first attitude
- Mitigation experience and/or IICRC certifications a plus, but not required
Schedule
- Standard hours: 9:00 AM – 6:00 PM
- Must be able to participate in rotating phone on-call schedule
