Position Overview
We are seeking a highly organized and detail-oriented Executive Administrative Assistant / Administrative Lead. This role is responsible for ensuring streamlined administrative processes are in place to support the leadership team. The ideal candidate is proactive, resourceful, and experienced in managing executive-level administrative functions.
Preference will be given to candidates from the communities of Altadena, Pasadena or Sierra Madre.
Key Responsibilities
- Manage and maintain calendars, scheduling meetings and appointments.
- Prepare agendas, take detailed meeting minutes, and ensure follow-ups on action items.
- Handle correspondence, emails, and phone calls professionally and efficiently.
Coordinate logistics for meetings, events, and engagements.
- Maintain and organize files, documents, and records.
- Assist with and/or manage special projects and research.
- Serve as a liaison between the CCC leadership and key stakeholders.
Other administrative tasks and projects as needed.
Qualifications & Skills
- Experience: 3+ years in an administrative, executive support, or office management role.
- Skills: Strong organizational, time management, and communication skills.
- Tech Proficiency: Familiarity with Microsoft Office Suite, Google Workspace, Zoom, CRMs, and calendar management.
- Professionalism: Ability to work with high-level leaders and handle sensitive information with confidentiality and discretion.
- Initiative: Self-directed, proactive administrator who can work independently while also being a team player.
- Mission Alignment: A heart for faith-rooted community work and justice.
Preferred Qualifications
- Experience working with faith-based organizations or community initiatives.
- Familiarity with nonprofit operations or coalition-building efforts.
- Strong note-taking and follow-up skills to ensure accountability in meetings.
- Experience planning and coordinating events.
Compensation & Benefits
- Salary Range: $30–$35/hour
- This grant-funded position includes a benefits gross-up and is eligible for benefits after the initial contract period
