About the Role
We are seeking a high-energy, highly organized Executive Assistant to provide top-tier administrative and operational support to our CEO. This role is pivotal in ensuring the smooth functioning of the CEO’s office, maintaining operational efficiency, and fostering a positive and productive office environment.
The ideal candidate is a go-getter with exceptional attention to detail, strong tech skills, and the ability to anticipate needs before they arise. You thrive in a fast-paced environment, juggle multiple priorities effortlessly, and make things happen with a proactive and professional approach.
Key Responsibilities
CEO Administrative Support
- Manage the CEO’s calendar, scheduling, and meeting coordination.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and meeting logistics.
- Prepare and update professional presentations, reports, and slide decks.
- Handle confidential information with discretion.
Office Administration
- Serve as the point of contact for NYC office vendors, office supplies, and facilities coordination.
Communication & Coordination
- Liaise with internal teams and external partners on behalf of the CEO.
- Support cross-departmental projects and track deliverables.
- Draft, edit, and proofread professional communications.
Technology & Tools
- Confidently use modern workplace tools and platforms, including ChatGPT, Slack, Google Workspace, and other applications used by the CEO.
Qualifications
- Experience: 5+ years in an executive assistant or similar high-level support role.
- Location: Based in NYC, with ability to work on-site 4 days/week.
- Skills:
- Expert organizational and time-management abilities.
- Strong written and verbal communication skills.
- Advanced proficiency in ChatGPT, Google Workspace (Docs, Sheets, Slides), Slack, and presentation software.
- Tech savvy, comfortable learning and navigating new platforms quickly.
- High attention to detail with a commitment to accuracy.
- Professional discretion and ability to handle sensitive information.
- Expert organizational and time-management abilities.
- Mindset: Self-starter, adaptable, solutions-oriented, and consistently positive.
