Work involves overseeing high-level administrative operations of an agency or division.

WHAT YOU WILL DO:
The Executive Assistant II performs advanced (senior-level) professional assistance work for an executive. May supervise the work of others. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.

YOU WILL BE TRUSTED TO:
  • Coordinate calendars, meetings, and conferences.
  • Develop trip itineraries and presentation materials.
  • Coordinate air and ground travel.
  • Prepare and edit complex correspondence, memos, charts, presentations and spreadsheets.
  • Develop, review and communicate administrative policies, procedures, standards and methods.
  • Evaluate administrative practices and programs and provides input into developing and revising policies, procedures, standards and methods.
  • Plan administrative assignments, programs and other administrative matters within a division, department or agency.
  • Plan and prepare reports, correspondence, studies, forms, manuals and publications.
  • Review administrative practices and programs and assists in formulating policies as appropriate.
  • Prepare notices or agendas for meetings and hearings.
  • Answer and screen phone calls, takes messages, and sets-up conference calls for an executive.
  • Assist in planning or preparing reports, correspondence, studies, forms, manuals and publications.
  • Communicate objectives, tasks and decisions to staff on behalf of an executive.
  • May assist the executive with general human resource management actions.
  • May assist in budget preparation.
  • May supervise the work of others.
  • Perform related work as assigned.
YOU QUALIFY WITH:
  • Six years of full-time experience in a responsible position which provided thorough knowledge of agency programs and services; business management practices, clerical administration, and procedures; or experience in organizing and coordinating support services or program operations which included analyzing work problems and interpreting complex policies and procedures.
  • Relevant academic credits may be applied toward experience qualifications for this position.
YOU ARE A GREAT FIT WITH:
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, SharePoint, and Outlook.
  • Strong organizational, planning, and problem-solving skills to support two executives with different and sometimes competing deadlines in a fast-paced environment.
  • Excellent writing and editing skills, with the ability to prepare and edit complex correspondence, memos, charts, presentations, and spreadsheets.
  • Effective communication skills to relay objectives, tasks, and decisions on behalf of leadership.
  • Proven ability to coordinate executive calendars, meetings, and conferences with attention to detail.
  • Must be flexible and able to accommodate shifting priorities daily.
  • Expertise in preparing and editing high level correspondence, memos, charts, presentations, and spreadsheets.
  • Ability to analyze and resolve complex administrative issues with professionalism and independent judgment.
  • Experience developing comprehensive trip itineraries, coordinating complex travel arrangements, and preparing high-level presentation materials.
  • Familiarity with reviewing and communicating administrative policies, procedures, and standards.
  • Demonstrated ability to evaluate administrative practices and recommend improvements to policies, procedures, and methods.
  • Experience preparing agendas or notices for meetings and hearings.
  • Demonstrated initiative, discretion, and critical thinking in high-responsibility administrative roles.
  • Knowledge of standard business practices, applicable rules and regulations, and legal or legislative procedures.
