We are seeking an experienced and service-driven Assistant Front Office Manager to join our team at our boutique hotel in beautiful Santa Monica. In this pivotal role, you will support the Front Office Manager in overseeing daily front desk operations, ensuring exceptional guest experiences, and maintaining the highest standards of service and hospitality.
As the Assistant Front Office Manager, you will lead by example—supervising front desk staff, resolving guest concerns with professionalism and warmth, and helping to foster a welcoming and memorable environment for all visitors. You’ll also assist in training, scheduling, and ensuring smooth communication between departments to deliver seamless service throughout the guest journey.

Key Responsibilities:
- Support daily front office operations, including check-in/check-out, reservations, and guest services
- Supervise and train front desk team members to ensure high service standards
- Handle guest inquiries and resolve issues promptly and professionally
- Coordinate with housekeeping, maintenance, and other departments for operational efficiency
- Assist in managing staff schedules and maintaining proper coverage
- Monitor front desk supplies, cash handling, and administrative tasks
- Uphold hotel policies and ensure compliance with health, safety, and brand standards
Step into the Front Office Manager’s role as needed during absences
Responsibilities
- Assist Front Office Manager in all administrative tasks as assigned
- Answer phones, greet customers, assist with check-in/check-out procedures, make reservations
- Confirm staff schedules, assist with payroll procedures, and accurately perform data-entry tasks
- Resolve customer complaints and issues and represent our hotel brand in a professional manner
- Ensure front desk is tidy and has all necessary stationery and material (e.g. pens, forms and informative leaflets)
- Train, supervise and support office staff, including receptionists, and call center agents
- Schedule shifts
- Ensure timely and accurate customer service
- Handle complaints and specific customers requests
- Troubleshoot emergencies
- Monitor stock and order office supplies
- Ensure proper mail distribution
- Keep updated records of office expenses and costs
- Ensure company’s policies and security requirements are met

Education:
- High school or equivalent (Preferred)
Experience:
- Hotel experience: 5 years (Required)
- OPERA (1 year)
- Ability to communicate clearly verbally and in writing.
- Ability to communicate in Spanish and English
REQUIREMENTS
- Proven work experience as a Front desk manager or Reception manager
- Hands on experience with office machines (e.g. fax machines and printers)
- Thorough knowledge of customer service, office management and basic bookkeeping

- Excellent communication and people skills

- High School diploma; additional certification is a plus
