Manager, Administrative Services
Staff Leadership and Oversight
Supervise and support a team of administrative and academic staff.
Manage workloads, roles, and training needs.
Oversee staff onboarding, remote schedules, office assignments, and performance check-ins.
Ensure consistent application of departmental policies and university procedures.
Administrative Operations and Planning
Coordinate recurring processes such as annual reporting, budget planning, and academic appointments.
Serve as liaison to university offices and manage departmental responses to data and reporting requests.
Support departmental logistics, including events, meetings, and academic calendars.
Monitor payroll data and support financial workflows with the Chair and fiscal staff.
Compliance and Reporting
Help ensure departmental compliance with university policies and deadlines.
Coordinate responses to accreditation, audits, and internal reporting needs.
Track required submissions and maintain clear records of administrative processes.
Chair Support and Special Projects
Advise and assist the Chair on personnel, financial, and faculty-related matters.
Support processes for hiring, tenure and promotion, and faculty governance.
Serve as a secondary approver for fiscal transactions and assist with reviews and budget projections.
Lead or contribute to college and university initiatives and special projects as needed.
$72,000 - $80,000
- Strong knowledge of UF administrative systems and processes, including myUFL, UFIRST, and Enterprise Analytics.
- Demonstrated ability to lead, supervise, and coach administrative teams in a higher education environment.
- Experience managing HR processes, budgeting, and faculty affairs in an academic department.
- Excellent organizational and time-management skills, with the ability to track multiple concurrent projects and deadlines.
- Strong written and verbal communication skills, including experience drafting formal correspondence, procedures, or reports.
- Ability to interpret and apply complex policies or regulations at the department level.
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook, and comfort learning new systems.
- Familiarity with academic cycles, teaching assignments, and graduate student appointment processes.
- Experience coordinating department-level responses for accreditation, annual reports, or space management.
- Commitment to maintaining confidentiality, professionalism, and collegiality in a dynamic academic setting.
