Position Title: Full-Time Order Fulfillment Officer (OFO)
Reports to: Sales Coordinator
Direct Reports: None currently. In the future, may supervise Product Packagers.
Schedule: Monday through Friday, 8 hours per day. The OFO can choose a workday start time anytime 9am or earlier.
November through April is the busiest half of year for fulfillment, with November and December being the peak months of the busy period. The OFO must report in to work daily during these peak months, with the exception of Thanksgiving Day, Christmas Day & New Years Day, which are all paid holidays.
Position Location: The Xocolatl Factory, and driving deliveries within the perimeter.

Employment Status & Wage: This position will start at $14/hour for the first 3 months and increase to $15/hour on the 4th month pending a successful 3 month start. Full-time benefits include paid time off, reimbursement for health insurance, paid holidays, wellness reimbursements and paid volunteer hours.
Advancement Opportunity: This is an entry-level position into the back office world of Xocolatl. The Order Fulfillment Officer will learn the back end logistics and customer service involved in ecommerce and B2B businesses. They will also learn the impact of marketing, promotions & pricing strategies for revenue growth. They will additionally be involved in product packaging and ad hoc projects as needed. As Xocolatl’s B2B and ecommerce revenue channels continue to grow, there are open ended opportunities for growth for the individual looking to proactively engage in the process, identify weaknesses in our systems and present opportunities for improvement and growth.

Requirements:
The OFO is a detail-oriented, task-centric individual who prides themselves on their ability to efficiently and accurately complete the fulfillment of orders (wholesale and online) and can competently communicate with online customers who call or email with questions about their orders.
The OFO should be an individual who has:
● Strong resource management skills (eg: reducing waste in product and supplies and understanding basic inventory management);
● An ability to spot errors & gaps with the natural drive to correct them and fix other problems that arise with reason & logic;
● Strong customer service skills in written communication when customers email with questions & the ability to help customers place orders over the phone;
● Strong physical organizational skills (eg: keeping packing tables & supply shelves tidy & set up for maximum efficiency);
● A car to run deliveries and UPS drop-offs within the perimeter. Mileage is reimbursed based on IRS rates.
● High personal standards for their own performance;
● A natural drive to search out better options for vendors, products and internal systems;
● A reliable team player mindset and understands that one person’s success is the entire team’s success and will work positively, proactively and respectfully with all staff, vendors and customers.
Daily Responsibilities:
● Package and ship ecommerce and wholesale orders.
● Check in with the Corporate Accounts Coordinator to handle fulfillment of wholesale orders.
● Log into Shopify & prepare online orders with various carriers (USPS, UPS, FedEx or deliveries/pickups).
● Check weather patterns to make sure orders are packed to withstand any weather-related issues.
● Check the orders@xocolatlchocolate.com email to respond to customer emails regarding their orders.
● Assist in maintaining an accurate product inventory in Shopify as new product is packaged, transferred to Krog, or invoiced outside of the Shopify system.
● Schedule order pick ups with third party delivery companies & carriers scheduled for pick up, and coordinate with other staff to drop off orders as needed.
● Inform Product Packagers of product needs & provide direction on packaging priorities as needed
● Answer customer phone calls and communicate any customer issues with orders, fixing problems when they arise or escalating the customer issue to the right person.
● Clean & organize the order fulfillment workspace daily.
● Manage their time efficiently in order to complete their daily tasks and during periods of down time, find other productive work (like product packaging) so that future work flow can be done efficiently.
Weekly Responsibilities (to be spread out through the week):
● Update product inventory in Shopify in order to make sure product that is low in stock can be moved to the channels where it will sell the most immediately
● Update a shipping supplies inventory & submit purchase requests for supplies
● Deliver local wholesale orders 2-3 days per week.
● Deep clean & organization of order fulfillment space
● On an ad hoc basis: research better solutions for order fulfillment under direction from management
