VulcanForms Inc. seeks an Order Planner for our Newburyport, MA location.
Job Purpose
The Order Planner is responsible for the accurate and timely execution of customer orders, from purchase order (PO) review through production release. This role owns the PO review process, maintains ERP order accuracy, and ensures alignment between customer requirements and internal execution. The Order Planner plays a key role in backlog reconciliation, sales order maintenance, and lead time standardization, working closely with production, quality, engineering, planning, and sales teams. Success in this role drives schedule accuracy, reduces misaligned production, and improves customer satisfaction and on-time delivery.
Key Responsibilities
- Enter and build customer orders in ERP system within 24 hours of receipt, ensuring accuracy, required documentation, and proper job number assignment.
- Own and facilitate the purchase order (PO) review process, verifying order details, coordinating internally, and communicating committed delivery dates to customers within defined SLAs.
- Maintain ERP sales order accuracy by regularly reconciling against customer open order reports, targeting 99% data alignment to prevent production mismatches.
- Ensure backlog integrity by proactively updating orders with changes to quantities, delivery dates, or revisions, keeping production aligned with current customer demand.
- Process engineering change orders and revisions, ensuring all active jobs reflect the most current specifications to reduce risk of rework or delays.
- Collaborate with planning to define and maintain standard lead times across production resources, supporting quoting consistency and realistic scheduling.
- Update and manage production schedules in ERP based on material availability, shop capacity, and shifting priorities to support on-time delivery.
- Coordinate cross-functionally with production, purchasing, shipping, estimating, engineering, and quality to ensure smooth order execution and to escalate risks when needed.
- Support capacity planning by identifying bottlenecks, monitoring job status, and initiating reschedules or expedites when necessary to maintain flow.
- Maintain clear, professional communication with customers via email and phone, providing timely updates on order status, quotes, and delivery schedules.
Qualifications
- Minimum 3+ years of experience in administrative, planning, or sales support roles, ideally with a concentration in order entry, customer service, or production coordination
- Experience in a manufacturing environment (e.g., CNC, machining, fabrication) is strongly preferred
- Proven proficiency with ERP/MRP systems for order management, scheduling, or production tracking (e.g., JobBOSS, Epicor, Oracle)
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced production environment
- Familiarity with manufacturing processes, including job travelers, capacity planning, lead times, and sales order lifecycle
- Proficient in Microsoft Excel and Word; able to generate and maintain reports, schedules, and order documentation
- Effective verbal and written communication skills with ability to coordinate across departments including production, purchasing, quality, and shipping
- Experience in regulated manufacturing industries (e.g., aerospace, medical devices) is a plus
