Job Summary:
The Treatment Plan Coordinator serves as the liaison between patients and the orthodontic team. This individual is responsible for presenting treatment plans, discussing financial options, scheduling treatments, and ensuring each patient feels informed and confident in their care. Key Responsibilities:
- Patient Consultation & Coordination:
- Present proposed orthodontic treatment plans to patients and/or parents.
- Explain treatment procedures, expected outcomes, and timelines in a clear and compassionate manner.
- Ensure patients understand the orthodontist’s recommendations and are comfortable with next steps.
- Financial Planning & Insurance:
- Review and discuss costs associated with treatment.
- Provide and explain financing options, insurance benefits, and payment plans.
- Process insurance claims and pre-authorizations; follow up as needed.
- Collect and process payments, and maintain accurate financial records.
- Scheduling & Follow-Up:
- Coordinate patient appointments and maintain treatment schedules.
- Ensure timely follow-up with patients who have not started treatment.
- Manage the treatment pipeline to help the practice meet production goals.
- Administrative Duties:
- Maintain detailed records in the practice management software.
- Communicate with the orthodontist and clinical team to ensure treatment plans align with clinical recommendations.
- Track treatment acceptance rates and report to management.
- Customer Service:
- Deliver an exceptional patient experience from first consultation to treatment completion.
- Address patient concerns and questions with empathy and professionalism.
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Prior experience in orthodontic or dental front office is highly desirable.
- Knowledge of dental terminology and treatment procedures.
- Proficiency in dental practice management software (e.g., Dolphin, Ortho2, Cloud 9).
- Strong communication, sales, and customer service skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Bilingual skills (Spanish, etc.) a plus.
Work Environment:
- Office setting within an orthodontic practice.
- Interacting with patients of all ages, parents/guardians, and clinical staff daily.
- May require occasional evening or weekend hours based on patient needs.
