St. Anastasia Catholic Community seeks a full time Administrative Assistant and Bookkeeper. The Parish Administrative Assistant & Bookkeeper is responsible for the overall administration of the business functions of the parish. This includes overseeing the daily operations of the parish, creating a productive and harmonious work environment, developing a community of faith, and being an active and participating leader in the promotion and growth of the parish community and school.
This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with the utmost discretion. Prior experience in “best practice” accounting procedures, data entry, computer adaptability, personnel procedures, and working as a team member are required.
Responsibilities
- Manage and develop parish administrative programs
- Manage and develop parish human resources
- Manage parish offices
- Maintain an accurate computerized accounting program for the parish
- Manage payable and receivable accounts on a timely basis
- Process payroll and manage tasks related to employee benefits and taxes
- Manage cemetery payable and receivable accounts
- Maintain current and historical financial and personnel records
- Attend training and meetings appropriate to the position
- Be aware and present where needed, ready to work as needed to meet responsibilities
- Help create a productive and harmonious work environment
- Answer and direct phone calls
- Assist in the preparation of regularly scheduled reports
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Submit and reconcile expense reports
- Act as a point of contact for parishioners
Skills
- Proven experience as an administrative assistant or office admin assistant
- Business Degree or equivalent and related experience required
- Experience in human, physical and financial resources management
- Demonstrated leadership and communication skills
- Ability to work with office equipment, including but not limited to computer, copier, telephone
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
