Job Description: As a Patient Services Representative at Peak ENT Associates, you will be a vital part of our healthcare team, responsible for ensuring the efficient and welcoming operation of our front desk and administrative functions. Your role will involve providing exceptional customer service to patients, coordinating appointments, managing patient records, and assisting with various administrative tasks to support our healthcare professionals and enhance the overall patient experience.


Responsibilities:

  • Greet patients with a warm and friendly demeanor as they arrive at the clinic.
  • Register new patients, collect insurance information, and update patient records accurately and confidentially.
  • Schedule patient appointments, ensuring optimal utilization of provider schedules.
  • Verify insurance coverage and coordinate necessary authorizations as required.
  • Answer phone calls and address patient inquiries promptly and professionally.
  • Maintain a clean and organized front desk area, ensuring a welcoming environment for patients.
  • Coordinate with medical staff and other departments to ensure smooth patient flow.
  • Actively collect and process patient payments, co-pays, and outstanding balances accurately.
  • Collaborate with the billing department to resolve patient billing and insurance issues.
  • Assist with administrative tasks, such as filing, data entry, clean reception areas, and record-keeping.
  • Maintain strict adherence to HIPAA regulations and protect patient confidentiality.
  • Uphold the clinic's standards of excellence in patient care and service.
  • Provide support to other team members as needed to ensure the efficient operation of the clinic.

Qualifications:

  • High school diploma or equivalent; some college coursework or healthcare training preferred.
  • Previous experience in a healthcare or customer service role is an advantage.
  • Excellent interpersonal and communication skills, both in person and over the phone.
  • Strong organizational abilities and attention to detail.
  • Proficiency in using computer systems, electronic health records (EHR), and Microsoft Office Suite.
  • Ability to multitask in a fast-paced healthcare environment.
  • Empathetic and patient-centered approach to customer service.
