The People & Culture Coordinator plays a vital role in supporting a positive, inclusive, and engaging workplace culture aligned with our mission. Reporting directly to the People and Organizational Services Director, this position provides administrative and programmatic support across the full spectrum of People & Culture functions, including onboarding, internal communication, employee engagement, workplace inclusion, and HR operations.

This role requires a high degree of discretion and professionalism, as it involves handling confidential and sensitive information. It is ideal for someone who is passionate about creating a supportive and equitable workplace within a values-driven nonprofit setting.

Essential Duties

Employee Experience & Culture:

  • Support the coordination of internal events, staff appreciation efforts, and wellness initiatives
  • Assist in implementing tools for gathering staff feedback (e.g., surveys, check-ins)
  • Help promote a mission-aligned and values-based culture through communications and engagement activities
  • Participate in organizational committees as directed by supervisor

HR Administration & Support:

  • Maintain accurate employee records and assist with data entry in the HRIS system, ensuring confidentiality and security of all employee information
  • May support benefits administration, time-off tracking, and compliance documentation as needed
  • Participate in and track leave of absence requests, ensuring timely processing and documentation
  • Review internal communications and updates to policies, procedures, and best practices for accurate proofreading, ensuring alignment with the organization’s culture and mission, while maintaining discretion
  • Assist with recruitment coordination, including scheduling interviews and communicating with candidates while safeguarding candidate privacy
  • May prepare and distribute offer letters and employment offer letters in collaboration with the Director
  • Assist in tracking mandatory training and certifications compliance
  • Help compile HR metrics and reports for leadership review, ensuring sensitive data is handled securely

Onboarding & Offboarding:

  • Coordinate onboarding logistics for new hires, including welcome materials, scheduling, and system access
  • Coordinate new hire orientation sessions to introduce policies, culture and key organizational practices
  • Partner with hiring managers to ensure a smooth and engaging new hire experience
  • Support offboarding procedures and exit documentation, maintaining confidentiality throughout the process

Workplace Belonging & Equity Support:

  • Coordinate and support employee resource groups and initiatives that promote inclusion, connection, and diverse perspectives across teams
  • Assist with internal programs and communications that foster belonging, equity, and a mission-aligned workplace culture
  • Support staff-led efforts that elevate diverse voices and lived experiences across the organization
  • Contribute to initiatives that cultivate a welcoming and safe work environment
  • Additional Responsibilities

Sustainability & Office Culture Support:

  • Promote environmentally responsible practices (e.g., recycling, reducing paper use)
  • Help create a welcoming, inclusive, and organized workspace that aligns with the organization’s values
  • Regularly communicate with staff, program directors and community partners to ensure ongoing and effective communication between programs
  • Stays up to date on activities and events available at Alliance
  • Attend program and meetings when requested by supervisor
  • Adhere to Alliance values and mission statement
  • Represent the Alliance in the community in a professional and competent manner

Qualifications and Education Requirements

Education/Experience:

  • High School Diploma or GED required.
  • Associate degree or higher in Human Resources, Business Administration, or related field preferred.
  • Equivalent combination of education and experience accepted.
  • 3 years of experience in:
    • HR
    • Office coordination
    • Administrative support

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Basic familiarity with SharePoint and Teams
  • Experience with HRIS systems (BambooHR & Paylocity) preferred

Skills and Abilities:

  • Excellent interpersonal and written communication skills
  • Strong organizational skills with high attention to detail
  • Ability to maintain confidentiality and handle sensitive information
  • Experience working in roles requiring discretion (e.g., HR, legal, healthcare, finance)
  • Preferred: Experience in nonprofit or mission-driven organizations
  • Familiarity with HR processes across the employee lifecycle (recruitment, onboarding, etc.)

  • Self-starter capable of working with minimal supervision
  • Comfortable in high-stress and rapidly changing environments

Physical & Other Requirements:

  • Ability to sit for extended periods
  • Visual and auditory acuity for reading and verbal communication (in person and via phone)
  • Able to lift and carry up to 40 lbs
  • Physical ability to:
    • Push/pull

    • Twist and turn
  • Mental acuity for:
    • Accuracy
    • Judgement and decision-making
    • Evaluating outcomes
  • Valid driver’s license with at least 5 years of driving experience

Work Standards & General Expectations

In addition to the specific duties outlined above, employees are expected to demonstrate the following standards of conduct and performance in the workplace:

  • Maintain reliable transportation, a valid California driver’s license, and required DMV clearance
  • Report to work consistently and on time; maintain regular, reliable attendance
  • Notify supervisor in advance when absent, in accordance with company policy
  • Complete work in a timely, accurate, and thorough manner; demonstrate conscientiousness in all assignments
  • Follow instructions and respond positively to feedback and direction
  • Take responsibility for personal actions and follow through on commitments
