We are seeking a dedicated and knowledgeable Real Estate Listing and Transaction Coordinator to join our brokerage. The ideal candidate will possess strong administrative skills, ability to multitask, excellent customer service skills, and a basic understanding of the real estate sales process. This role requires a combination of organizational skills, attention to detail, excellent communication abilities, and collaboration with agents, clients, and vendors to ensure smooth operations within the brokerage.
Duties
- Coordinate transactions in their entirety from inception through closing and beyond, ensuring a timely closing, accuracy, and compliance with company policies. This includes direct and consistent correspondence with lenders, title companies, real estate agents, clients, etc.
- Prepare addendums, documents, etc. and send them for signatures using electronic signature apps like Dotloop.
- Coordinate and manage various tasks of the the pre-listing process.
- Prepare documents for listings and ensure they are completed accordingly and signed by the appropriate parties.
- Schedule professional photography and videography.
- Input and launch listings in the MLS.
- Collaboratee closely with the lead listing agent’s clients, serving as a point of contact to guide clients through the listing process and ensure a smooth and enjoyable experience.
- Prepare marketing materials for listings, open houses/broker's opens, etc., including online postings and print advertisements.
- Coordinate open houses/broker's opens.
- Assist real estate agents, listing team, transaction team, marketing team, etc. with various daily administrative tasks.

- Provide exceptional customer service by responding to client inquiries and addressing concerns promptly.
- Assist in event planning, organizing meetings, and coordinating logistics for company events.
Experience/Requirements
- An Associates degree is required.
- Proven experience in administration and/or real estate is preferred.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Detail-oriented, high level of attention to the "little things".
- Attitude of Service towards all our relationships: “What else can I do to make it easier for you?”
- Strong verbal/written communication and visual skills are essential for this role.
- Strong telephone skills and etiquette to converse with clients, vendors, title companies, lenders, etc.
- Strong computer skills, and must be proficient in quickly learning and utilizing social media/technology/web-based applications.
- Ability to work independently and with a team, and to move quickly in a dynamic environment.

Job Type: Full-time
Pay: $35,000.00 - $55,000.00 per year
