The Geotechnical Sales Coordinator plays a key role on the sales team by providing support to the sales team including the department Sales Managers and Project Managers to ensure that ongoing projects are completed on-time and under budget.
ESSENTIAL FUNCTIONS
- Generate and process sales quotes and sales orders.
- Release instruction to warehouse/s for sales order shipments
- Generate PO’s for non-stock special order items related to sales orders
- Process PO’s once received and approve vendor invoices for payment
- Verify all orders and change orders have an acceptable DYWIDAG commercial agreement in place and proper sales tax exemption certificates are on file (if applicable).
- Collect required project documentation including, tax details, lien or bonding documentation, certificates of insurance, etc.
- Assist with submittals (cut sheets, mill certs, etc.) to customers as needed.
- Attend inquiries from customers on Orders as needed.
- Create and maintain Job Progress Reports in internal tracking system to ensure accuracy.
- Maintain constant communication with customer during order execution and delivery.
- Monitor customer order progress, taking responsibility that order is delivered to customer’s satisfaction.
- Communicate professionally and effectively with internal and external project stakeholders in a timely manner.
- Maintain accurate data in ERP System.
- Generate accurate invoices for all shipments and services in a timely manner.
- Review monthly equipment rental report and invoice leased equipment as defined in the lease agreement.
- Document collection and process invoice credits as needed.
- Maintain project filing system electronically.
- Run monthly sales department reports as needed.
- Research job and order archives as needed.
- Assist finance in closing jobs as needed
- Assist in documentation for Standard Operating Procedures.
- Performs other related duties as assigned.
REQUIRED EDUCATION AND EXPERIENCE
- Associate's degree or three to five years related experience and/or training; or equivalent combination of education and experience.
- 2-3 years of construction project coordination and/or contracting experience preferred.
- Experienced with MS Office - Word, Excel, and Outlook.
- Experienced with sales and customer service skills.
- Experience with Certified Payroll a plus.
- Experience with Navision ERP system a plus.

- Ability to work with various currencies.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret an extensive variety of instructions in written and diagram form and deal with several abstract and concrete variables.
- Ability to manage multiple tasks at one time.
TRAVEL REQUIREMENTS
- Travel may be required on occasion.
PHYSICAL DEMANDS
- Prolonged periods of sitting, standing, laptop use, etc.
- Must be able to lift 15 lbs.
