Student Wellness Business Operations Manager

The new Student Wellness Center (SWC) is a 165,000 square foot facility that opened in August 2024. The new facility enhances the integrated and holistic model of student health and wellbeing at MSU. Student Wellness includes three departments including Campus Recreation, Counseling and Psychological Services, and Student Health Services. Additionally, the Student Wellness office core includes facility operations, health education and promotion programs, basic needs, and administrative support for all of Student Wellness. Each of the three department has a Business Operations Manager. This position will be housed in the SW office area supporting and overseeing the day-to-day business operations of the office, supervising student workers, assisting the Associate Vice President with high-level administrative needs, human resources, payroll, and purchasing. The SW BOM will work closely with the shared services staff within SW including budget, human resources, and communications, as well as work closely with the other SW BOMS.

Duties and Responsibilities
Human Resources:
  • Coordinate new employee recruitment and handle all new hire and termination procedures for both professional and student staff. Assist other SW departments with these tasks during peak times.
  • Manage payroll processes, including bi-monthly payroll processing/reconciliation and payroll audits.
  • Provide administrative support for search processes and serve as the search manager as needed.


Office Support:
  • Provide administrative support for the AVP and SW office staff including making meeting arrangements, travel planning, support with calendars, and other general office duties.
  • Support administrative needs of the new Director of Facilities and Operations and support facility processes.
  • Provide reception and front desk customer service to staff, faculty, students and visitors.
  • Work closely with the other Business Operations Managers in Student Wellness.
  • Serve on committees (internal and external) as directed by the AVP.

Fiscal Management:
  • Accountable for procurement of goods/services, reviewing/approving transactions, monitoring expense, revenue, and receivables, requesting payments, submitting budget transfers, requesting budget changes, and assisting with the management of annual fiscal year budgeting activities.
  • Provide fiscal management support of the Bounty of the Bridgers Food Pantry including grants and foundation funds.
  • Work closely with Fiscal Shared Services and central finance to ensure departmental resources are used in accordance with university policies and procedures related to business procedures, purchasing policies and procedures, and travel policies.
  • Maintain knowledge and regular review of all business operational systems, automated processes, and related technology.
  • Research and compile information to analyze and produce fiscal reports or documents in conjunction with the AVP (eg. Travel projections and tracking, position budgeting forecasting, etc)

Broad SW Oversight:
  • Provide broad oversight and support for Student Wellness functions, including supporting health education programs and the Director of Facility Operations.
  • Oversee ordering and manage contracts for large-scale Student Wellness operations, including custodial services.
  • Assist with various operational support needs across the broader Student Wellness division.

Required Qualifications – Experience, Education, Knowledge & Skills
  • Bachelor’s degree or an equivalent combination of relevant education and/or experience in a position that provides applicable experience.
  • Demonstrated excellent customer service skills working with people from many different backgrounds.
  • Successful experience completing complex tasks independently with minimal supervision.
  • Demonstrated competency using different software programs and systems including Microsoft Office (Teams, OneDrive, SharePoint, Outlook, Excel, Word).

  • Demonstrated organizational, analytical, and critical thinking skills.
  • Demonstrated ability to work independently, organizing and prioritizing multiple assignments with a high degree of accuracy and confidentiality; attention to detail; while maintaining a positive, effective, and professional approach.
  • Demonstrated experience developing and maintaining replicable, detailed, and accurate operational systems and record keeping processes.
  • Experience in recreation, medical, health and/or wellness operations and professional office settings.
