OVERVIEW:
As the Talent Acquisition Specialist, you will be responsible for owning the onboarding process and supporting the recruitment of entry-level exempt, non-exempt, and temporary positions. You will manage all aspects of new hire onboarding from offer acceptance through Day 1, ensuring every step is timely, accurate, and engaging. You will also partner with hiring managers to source, screen, and coordinate interviews for assigned positions, creating a smooth experience for both candidates and new hires.
This is a detail-heavy, fast-paced role that requires strong organizational skills, the ability to manage multiple priorities, and a polished, service-first mindset.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Own the onboarding process from offer acceptance through Day 1, partnering with recruiters, hiring managers, and cross-functional teams to ensure a seamless and engaging new hire experience.
- Manage recruitment efforts for assigned entry-level exempt, non-exempt, temporary, and other positions as assigned, including sourcing, screening, and coordinating interviews.
- Build and maintain candidate pipelines through networking and proactive sourcing.
- Facilitate New Hire Orientation and ensure all compliance training is completed within required timeframes.
- Collect and verify I-9 documentation, process background checks, and oversee completion of all onboarding paperwork.
- Maintain accurate and up-to-date employee files and recruitment records in internal systems.
- Prepare onboarding schedules in collaboration with hiring managers and provide calendar invites, training logistics, and travel arrangements if required.
- Keep new hires informed and supported before and after their start date to promote engagement and retention.
- Post and update job openings across job boards, social media, colleges, and staffing partners.
- Conduct reference checks and coordinate pre-employment testing.
- Partner with hiring managers to clarify candidate requirements and ensure smooth interview logistics.
- Greet and support candidates during onsite interviews, serving as the primary point of contact and creating a positive experience.
- Respond promptly to applicant inquiries and provide timely status updates.
- Provide administrative support to the Talent Acquisition team and assist with HR-related projects as needed.
- Maintain confidentiality and handle sensitive information with discretion.
- Perform other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

- Dependable, discreet, and comfortable handling confidential information.

- Proficiency in Microsoft Excel, Word, and Outlook; experience with ATS or HRIS platforms required.
- Prior experience with Smartsheet is a plus.
EDUCATION, EXPERIENCE, and TRAINING:
- Associate’s Degree in Human Resources, Business Administration, or a related field preferred; equivalent work experience will be considered.
- 2+ years of full cycle recruiting experience.
- Experience coordinating and/or facilitating employee onboarding is required.
- Experience recruiting for entry-level exempt, non-exempt, or temporary positions preferred.
- Training to be completed per the training plan for this position as maintained in the document control system
- The training requirements on TRN-10007 Insider Trading Policy, TRN-10008 Global Anti-Bribery and Anti-Corruption Policy and TRN-10009 Code of Business Conducts and Ethics must be diligently completed within 30 days from the hiring date and on an annual basis
COMPUTER SKILLS:
- Experience with applicant tracking systems (ATS) is required; Paylocity preferred.
- Proficiency in Microsoft Office, with familiarity using Outlook Scheduling Assistant.
- Prior experience with Smartsheet is preferred.
