Overview

The Manager is responsible for overseeing the delivery of private equity fund accounting and fund administration services, including NAV preparation, investor reporting, fee calculations, financial reporting, and fund operations. The role leads and develops fund accounting teams, manages client relationships, ensures compliance with fund governing documents and regulatory requirements, and drives process improvements to deliver accurate, efficient, and high-quality service.

Key Accountabilities and main responsibilities

Strategic Focus

  • Provide strategic oversight of NAV production, financial reporting, and fund accounting activities to ensure accuracy, quality, and timely delivery across client portfolios.
  • Ensure compliance with fund documentation, regulatory reporting requirements, and evolving industry standards across multiple client engagements.
  • Lead client service delivery across assigned portfolios, fostering strategic client relationships and ensuring consistently high standards of service excellence.
  • Oversee capital call, distribution, custody, and complex fund operations activities while maintaining a strong control environment.
  • Review and approve management fee calculations, carried interest allocations, and investor allocations, ensuring compliance and accuracy.
  • Drive process improvement, automation, and technology adoption initiatives to enhance operational effectiveness and scalability.
  • Drive compliance with regulatory requirements, internal policies, and governance frameworks across client engagements.
  • Lead and support strategic projects, system implementations, and business transformation initiatives.
  • Contribute to business growth objectives through client retention, service expansion, and support of business development opportunities.
  • Lead, develop, and mentor team leaders and fund accounting professionals, promoting talent development and succession planning.
  • Oversee resource allocation, capacity planning, and service level management across teams and client portfolios.
  • Manage relationships with auditors, banks, brokers, custodians, administrators, and other key external stakeholders.

Operational Management

  • Oversee end-to-end fund accounting and fund administration operations across assigned client portfolios, ensuring effective execution of all service deliverables.
  • Ensure the timely, accurate, and consistent delivery of NAVs, financial reporting, and other client commitments in accordance with established service standards.
  • Lead workflow management, capacity planning, and resource allocation to optimize team performance and support business objectives.
  • Monitor adherence to service level agreements (SLAs), client expectations, and key delivery timelines.
  • Review and approve fund transactions, capital calls, distributions, and other fund-related activities to ensure accuracy and compliance.
  • Review and approve reporting packages, supporting schedules, and operational deliverables to ensure quality, accuracy, and completeness.
  • Drive continuous process improvement initiatives to enhance operational efficiency, scalability, and service quality.
  • Lead technology enhancements, automation initiatives, and system implementation projects to support operational effectiveness.
  • Manage relationships and coordination with auditors, banks, brokers, custodians, administrators, and other key external stakeholders.
  • Maintain oversight of regulatory, and compliance requirements across client engagements.
  • Monitor service quality, operational performance metrics, and key performance indicators to ensure achievement of business objectives.
  • Establish, maintain, and enhance fund-specific operating procedures and control frameworks.
  • Identify, assess, and address operational risks, control deficiencies, and service delivery issues in a timely manner.
  • Support business growth by developing scalable operating models and efficient service delivery processes.

People Leadership

  • Lead, coach, and develop Fund Accountants and support staff, fostering high performance, engagement, and professional growth.
  • Provide ongoing training, mentorship, and development opportunities to strengthen technical expertise and operational capability across the team.
  • Conduct performance reviews, deliver regular feedback, and support career development planning to drive individual and team success.
  • Oversee team workload, capacity planning, and resource allocation to ensure optimal utilization and delivery of business objectives.
  • Foster a high-performance, client-focused culture that promotes accountability, collaboration, and service excellence.
  • Support the recruitment, onboarding, development, and retention of high-performing talent.
  • Monitor and enhance team productivity, accuracy, service quality, and overall performance.

Governance & Risk

  • Ensure compliance with fund governing documents, regulatory requirements, accounting standards, and internal policies across all client engagements.
  • Maintain and strengthen governance frameworks, operational controls, and oversight mechanisms to support effective risk management and regulatory compliance.
  • Oversee compliance activities and related due diligence requirements, ensuring adherence to applicable regulatory obligations.
  • Review and approve NAVs, investor allocations, management fee calculations, fund transactions, and other key accounting deliverables to ensure accuracy and compliance.
  • Ensure the timely and accurate completion of regulatory reporting, statutory filings, and compliance-related obligations.
  • Monitor adherence to enterprise risk management frameworks, policies, and control standards across operational activities.
  • Identify, assess, manage, and mitigate operational, financial, regulatory, and reputational risks across client portfolios and business operations.
  • Maintain oversight of fund expense approvals, banking activities, and cash management controls in accordance with established authorization procedures.
  • Ensure appropriate segregation of duties, approval hierarchies, and control measures are consistently applied.
  • Lead and support internal and external audits, ensuring the timely resolution and remediation of audit findings.
  • Review and approve key reports, schedules, financial information, and client deliverables to ensure quality, accuracy, and completeness.
  • Ensure compliance with service level agreements, contractual obligations, and client commitments.
  • Establish, maintain, and enforce fund-specific procedures, documentation standards, and control frameworks.
  • Maintain oversight of data integrity, reporting accuracy, and record-keeping requirements across client portfolios.
  • Escalate material risks, control deficiencies, and compliance matters appropriately and ensure effective resolution.
  • Promote a culture of accountability, compliance, risk awareness, and strong governance across teams.
  • Support business continuity planning, succession management, and operational resilience initiatives.
  • Assess risks associated with new products, client onboardings, system changes, and process enhancements.
  • Oversee third-party service providers, including administrators, custodians, brokers, and other key partners, to ensure compliance with service and control expectations.
  • Drive continuous improvement of governance, risk management, and control processes to enhance operational effectiveness.

Experience & Personal Attributes

Experience

  • Bachelor's degree or post-secondary education in Finance, Accounting, or a related field
  • 8+ years of experience in fund administration, fund accounting, investment management, or fund audit environments
  • Previous people leadership and staff management experience
  • Strong understanding of private equity fund structures and fund administration operations
  • Experience overseeing NAV preparation, review, and investor reporting
  • Knowledge of management fee, carried interest, waterfall, and allocation calculations
  • Experience with capital calls, distributions, subscriptions, and custody operations
  • Strong understanding of financial instruments and fund offering documents
  • Experience working with auditors, banks, brokers, custodians, and administrators
  • Knowledge of regulatory reporting, and compliance frameworks
  • Advanced Microsoft Excel skills
  • Experience reviewing and approving financial reports, schedules, and operational deliverables
  • Strong client service and relationship management experience
  • Experience managing deadlines, SLAs, and multiple competing priorities
  • Ability to identify and implement process improvements and operational efficiencies
  • Experience with system enhancements, technology initiatives, and project participation
  • Working knowledge of Geneva, Investran, Yardi, and/or Bloomberg considered an asset
  • Professional designation (CPA, CA, CGA, CMA, ACCA, ICAEW, CFA, or equivalent) completed or in progress is an asset
