Job Description Summary
The Administrative Assistant serves as a member of the dynamic staff that supports the academic and advising needs of undergraduate students enrolled in the College of Arts and Sciences. This position is responsible for overseeing all aspects of front desk operations.
Tracing its roots to the founding of the University, the College is home to 6,400 undergraduates in the School of Arts and Sciences. It is the heart of the academic experience at the University of Pennsylvania, with students from across all of the undergraduate schools at Penn taking many of their courses in the College. Penn's tree-lined campus exists in the midst of one of the country's greatest urban centers, providing College students with tremendous opportunity. The Administrative Assistant serves as a member of the dynamic staff that supports the academic and advising needs of undergraduate students enrolled in the College of Arts and Sciences. This position is responsible for overseeing all aspects of front desk operations including: receiving and greeting students, faculty, staff, parents, visitors, and delivery persons; directing them to appropriate office and/or website; opening office each day by 8:30 AM (making coffee, checking voicemail, and updating the in/out board); closing the office each day at 5:00 PM (cleaning the coffee pots, shutting down various machines, locking doors); managing, maintaining, and scheduling appointments for assistant deans and staff; answering phones, taking messages, responding to questions, and transferring to appropriate offices; maintaining the appearance of the front office. Assist in training and overseeing student workers. Process various campus forms. Make room reservations via the on-line system. Maintain calendar for conference room. Assist with office-wide projects. Checking and responding to the College email account. Maintain an inventory of office supplies.
A High School Diploma or GED and 1 to 2 years of experience in an office environment, or an equivalent combination of education and experience required. Excellent organizational skills, ability to adapt to various communication and working styles, ability to prioritize and manage time effectively, ability to work independently, and ability to work with sensitive information required. Ability to work in a team environment desired. Excellent communication skills, both oral and written.
