Administrative Office Assistant/Receptionist
Company: We are a small and growing mechanical HVAC company in Houston. Our primary focus has been commercial and industrial projects, and we are developing our residential and new home construction teams. To continue growing, we need to ensure no details are overlooked, and so we are looking to expand our team.
Job Summary: We have a full or part-time opening in Houston, Texas, for an experienced Administrative Assistant with proven success. We are looking for a highly organized and detail-oriented AdministrativeAssistant to answer incoming calls and keep the office running smoothly. Monday through Friday, 8 am to 5 pm.
Responsibilities:
- Answer incoming calls
- Assist with requesting and filling for project permits
- Maintain multiple calendars for tracking installations, service, and project milestones
- Create and maintain electronic filling for all projects and service calls
- Send out proposal requests to vendors and organize returned information for Estimator
- Prepare communications, such as memos, emails, reports, and other correspondence
- Assist with creating and updating company policies, safety programs, and “how-to” documentation
- Inventory received materials as they are delivered to ensure accuracy
- Create and update social media platforms
- Run occasional errands if needed
Requirements:
- Minimum three years of experience
- Punctuality is a requirement
- Multi-task while not overlooking anything is a must
- High school diploma or GED (College preferred)
- Must be computer literate. Intermediate proficiency of Microsoft Office applications including Word; Excel; PowerPoint; and Access Database
- Able to learn and master multiple cloud-based programs we utilize for projects
- Spelling, punctuation, sentence, and writing are essential
- Bilingual in Spanish highly preferred
- Demonstrated troubleshooting skills and techniques
- Qualified Applicants must be legally authorized for employment in the United States
- Ability to work and contribute to the team in a small office environment
- Must be flexible on duties and assist others in meeting our goals
Compensation:
- Contract – No benefits
- Hourly salary $20 - $25 depending on work experience and qualifications
