Job details Job Type Full-time Full Job Description Primary Responsibilities: Act as confidential secretary and assistant to the chief administrative officer (Executive Director) of the Central Massachusetts Special Education Collaborative. Fulfills all responsibilities associate with the functions of the Executive Directors office. Human Resource Coordination Manage postings for all new positions or vacancies; support administrators in refining job descriptions, posting vacancies on CMC website and online job-seeking websites (SchoolSpring). Coordinate and schedule interviews with candidates selected for interview by administrators and/or search committees.

Assemble hiring packets and process new hire paperwork for all new hires, interns, and volunteers including application, CORI, required documentation, benefits forms, tax forms, etc. Process and read/review CORI reports following CORI requirements and regulations. Assist in documentation and management of employee contracts and employment letters. Maintain database of employee information (iPass).

Update annually emergency contact list for employees. Collect and maintain attendance records/time sheets for all employees. Maintain vacation and sick time accruals. Maintain files on employee certification, licensure and evaluation.

Manage Workers Compensation claims/reports. Manage Leaves of Absence and FMLA requests and required paperwork. Coordinate and track state mandated fingerprinting process of employees. Coordinate and track mandatory trainings such as state mandated ethics training of employees.

Conduct employee exit interviews and prepare discharge paperwork.Office Management and Coordination Assist in the formulation of agendas and open meeting law notifications associated with meetings involving the Executive Directors office and take detailed minutes and notes at CMC board meetings and other meetings when required. Support the Executive Director to prepare information for meetings and presentations, etc Undertake a coordinated overview of all office systems and develop, as needed, effective office systems in Central Office in coordination with program administrative assistants to ensure the smooth operations of the collaborative. Provide training and supervising to other administrative support staff. Provide timely and professional response to processing of requests, inquiries and complaints.

Assist in completing local, state and federal reports utilizing a variety of printed and electronic data sources including but not limited to the formulation of MA DESE reports for SIMS, EPIMS, SCS, Directory Administration, utilizing administrative software, Security Portal, ELAR, and grants. Provide editorial feedback to organizational leadership to polish documents and projects prior to distribution (Employee Handbook, Student Handbook and other Collaborative policies and procedures). Manage office stationery and supplies, maintaining an inventory of supplies and equipment and ordering when necessary. Day-to-day management of the Executive Directors calendar and schedule and function as liaison and coordinate the flow of information with internal and external contacts.

Update the Executive Director on key organizational issues when he/she is out of the office. Compiles operational statistics and gathers data required by the executive director including but not limited to records which ensures compliance with all policy-related documentation and accurate student and staff data including rosters, attendance and evaluation information. Assist in maintaining and updating CMC WebPage. Perform additional duties as assigned by the Executive Director.Perform additional duties as assigned by the Executive Director.
