The Receptionist is the first point of contact for the entire organization, which requires a positive attitude, polished and professional appearance while communicating with diplomacy and tact. The Receptionist is responsible for answering and directing incoming calls to appropriate staff, ensuring communication boards are always up to date, executing various secretarial and administrative work for supervisory staff, mail distribution, data processing, and record keeping.

The Receptionist is a job sharing position where two part- time employees share one full-time Job. Although this position is part-time, there are times The Receptionist is required to work full days to cover the other job sharing individual’s vacation or sick days.

  • Provides general office support with a variety of clerical activities and related tasks.
  • Professionally answers, directs, and accurately filters all incoming calls/inquiries to appropriate personnel, re-directs accordingly. Takes and relays messages as needed.
  • Receives, sorts, and distributes mail to appropriate personnel on a daily basis, while maintaining strict confidentiality.
  • Greets customer and guests in a professional, friendly, and hospitable manner.
  • Opens and closes visitor area. Ensures that the reception area is prepped and ready for guests on or before opening.
  • Assists in directing customers and/or visitors to their correct destination.
  • Administers visitor plant tour preparations.
  • Answers queries from the public, customers, and employees.
  • Assists applicants with submitting an application via the employment kiosk.
  • Maintains up to date knowledge of all staff and vendor movements in and out of organization. Keeps the contact list up to date and accurate.
  • Prepares letters, memos and other documents.
  • Prepares UPS packages on a daily basis.
  • Creates Purchase Orders (PO’s) as needed.
  • Orders office and general administrative supplies along with maintaining inventory of office supplies.
  • Updates necessary Bill of Lading’s (BOL’s) and employee uniform logs as needed.
  • Reconciles incoming invoices with PO’s.
  • Prepares/reconciles expense reports for various supervisors and managers.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Maintains security by following proper internal procedures, logbook monitoring, and issuing visitor badges in compliance with Safe Quality Food plan (SQF) requirements.
  • The Receptionist performs other responsibilities as assigned and gives general administrative and clerical support.

  • Required: High school diploma/GED or equivalent work related experience.
Experience and Knowledge:
  • Required: Minimum of 1 year of administrative and clerical experience.
  • Knowledge of computers and relevant software applications.
  • Knowledge of customer service principles and practices.
  • Keyboard skills.
Machines Operated:
  • Office machines (e.g., personal computer, copy machine, fax machine, calculator, and phone).
Physical Requirements:
  • Sit for extended periods of time.
  • Perform tasks requiring manual dexterity (e.g., processing paperwork, filing, stapling, sorting, collating, occasional lifting up to 50lbs, etc.).
Knowledge and Skills:
  • Proficient in Microsoft Excel, Microsoft Word, and PowerPoint.
  • Excellent Verbal and written communication skills.
  • Excellent phone etiquette.

  • Able to maintain high level of confidentiality.
