We are looking for a full-time Administrative Assistant. The Administrative Assistant supports our daily office operations by formatting audit reports, preparing proposals, and assist with various department projects. This position also requires direct support to managers and staff accountants. Strong administrative and organizational skills are essential to manage multiple priorities in a fast-paced, deadline-driven environment.
Some of the job duties:
- Reviews and formats audit reports within deadline guidelines, submitting them to the audit teams when completed.
- Answers and direct incoming calls and emails in a professional manner.
- Responds to internal emails and messages via Outlook and Teams.
- Prepares and formats Proposals to potential clients while working closely with Partners
- Work extensively with MS Word, Outlook, Excel, CCH Axcess, ProSystem, Adobe, and other software.
- Maintains organized digital files and ensures workpapers are checked into ProSystem.
- Prepares the audit reports for shipment using FedEx and USPS software
- Train Temporary Office Assistant during busy season
- Tracks office inventory of kitchen and office supplies, placing orders as needed.
- Process incoming and outgoing mail on a daily basis.
- Tracks FedEx and other receipts and submits to accounting.
- Assist with planning Office and Company-wide events across various California locations
- create reports for management and audit teams as requested.
- Operate standard office equipment (e.g., Copiers, Scanners, postage machines)
- Handles confidential information with discretion and professionalism.
- Perform other job duties as assigned.
Other things to know:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Minimum of 2 years of work experience in an administrative or office assistant role.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and Teams.
- Strong document formatting skills using MS Word and Adobe.
- Excellent analytical, organizational, time management, and problem-solving skills.
- Strong verbal and written communication abilities.
- Ability to work independently and collaboratively with coworkers, particularly the administrative team, to meet deadlines.
- Must be able to communicate clearly and effectively in person, over the phone and via email.
- Must be available to work overtime during busy season, including evenings and occasional weekends.
- Regular schedule is Monday- Friday, 40 hours per week with overtime as needed/required. Schedule may change to a 9/80 work week in the future.
Physical Requirements of Job:
- Prolonged periods of sitting at a desk and working at a computer, usually 6-7 hours/day.
- May need to lift up to 20 pounds occasionally (e.g., moving office supplies)
- Must be comfortable working in a pet-friendly environment (primarily office cat).
