Administrative Clerk
The Administrative Clerk provides comprehensive administrative support for a paper converting company, ensuring smooth office operations and directly assisting warehouse operations staff, the CEO, Operations, and HR teams. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced, manufacturing environment.
Responsibilities:
- Greet and assist visitors, vendors, and staff in a professional manner.
- Answer and direct incoming phone calls; manage general email and mail correspondence.
- Send FEDEX deliveries, prepare labels
- Perform data entry, maintain accurate records, and update inventory and shipment logs in coordination with warehouse staff.
- Support warehouse operations by:
- Coordinating incoming and outgoing shipments and preparing shipping documents.
- Maintaining inventory records and assisting with cycle counts and audits.
- Communicating with drivers and logistics partners to ensure timely deliveries.
- Assisting with warehouse supply orders and equipment maintenance scheduling.
- Prepare and process purchase orders, invoices, and office bills; track expenses and assist with basic bookkeeping tasks.
- Provide direct administrative support to the CEO and Operations team, including scheduling meetings, preparing reports, taking meeting minutes, and handling confidential documents.
- Assist HR with:
- Maintaining employee records and HR databases.
- Supporting recruitment, onboarding, and time & attendance tracking.
- Coordinating employee communications and engagement activities.
- Organize and maintain filing systems (physical and digital) for office, warehouse, and HR documents.
- Ensure office and warehouse supplies are stocked and distributed as needed.
- Support general office functions such as copying, scanning, faxing, and document preparation.
- Uphold cleanliness and safety standards in office and warehouse areas
Requirements:
- Proficient in MS Office (Excel and PowerPoint, in particular)
- 3 years of administrative assistant experience
- Proficient in Outlook
- Bilingual in Spanish and English
Schedule:
Monday through Friday, 8—am-4:30pm
The expected salary range for this position is $20 per hour, depending on experience and qualifications. This role is eligible for Cal Choice health benefits following completion of the first 90 days, Cal Savers retirement plan, 5 sick days, 5 PTO days upon completion of one year employment
