Skills and Requirements
- Must be 18 years or older.
- High School Diploma or GED
- Proven experience as an Administrative Coordinator, Executive Assistant, or similar role.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Discretion and confidentiality when handling sensitive information.
- Ability to multitask and adapt in a fast-paced environment.
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.

Summary:
The administrative coordinator - office is responsible for overseeing and supporting daily office operations, ensuring smooth workflow, effective communication, and proper documentation across departments. You serve as a key point of contact for internal teams and external partners, managing office project schedules/events, supplies, and administrative processes efficiently.
Essential Functions:
Office Operations & Administrative Support
- Coordinate daily office routines and provide general administrative support across departments.
- Maintain office calendars, manage conference room bookings, and oversee the front TV slideshow.
- Order and manage office supplies, equipment, and kitchen inventory within budget, including monthly clean-outs and stock maintenance.
- Handle incoming and outgoing mail and UPS shipments, ensuring timely distribution and delivery.
- Maintain and update key card access records and support alarm system monitoring for warehouse access (ADT Control).
- Manage printer supplies and coordinate maintenance or service when needed.
- Support and manage regional office budget.
Meeting & Event Coordination
- Prepare, organize, and provide follow-up for meetings, including materials and catering arrangements.
- Coordinate monthly catering (lunch and breakfasts) and manage the monthly kitchen calendar for events and celebrations.
- Support team events such as birthday celebrations by arranging decorations, cakes, and cards.
Event Management
- Office liaison with event management for logistics and accommodations for regional office in connection with events or meetings.
New Hire & Employee Transitions Support
- Set up workstations for new hires, including IT setup and welcome packages.
- Greet new hires, provide office tours, assist with onboarding paperwork (e.g., I-9), and serve as a point of contact during initial weeks.
- Clean and reset cubicles or offices after employee departures and return equipment to HR.
Liaison & Communication
- Serve as a point of contact between the office and corporate or other internal teams.
- Review, prioritize, and respond to communications and correspondence as directed.
- Provide administrative support for special projects as assigned.
Safety & PPE Coordination
- Maintain PPE inventory and collaborate with the Safety team to ensure stock levels are adequate and up to date.
Working/ Environment/ Physical Demands to successfully perform the essential functions of this job. This is a stationary position that requires frequent sitting or standing, repetitive wrist motions, grasping, speaking, listening, close vision, color vision, and the ability to adjust focus. The employee must occasionally lift and/or move up to 15 pounds. Employees in this position must be physically able to efficiently perform the essential functions of the position.
