This full-time, hourly, on-site position at the Sisters of St. Benedict monastery in Ferdinand, IN, is a vital part of the Mission Advancement team. We have an upbeat, positive and fast-paced atmosphere that needs someone who can work at a quick pace, keep up with ongoing tasks and offer encouragement and support to the team as needed.
Position Summary: We are looking for a proactive, creative, problem-solver with a get-things-done attitude. As a vital part of the major gifts team, the right applicant will be assisting with administrative duties, including, but not limited to: reporting, correspondence, coordination of calendars, preparing reports, organizing special activities and events.
Responsibilities (Administrative Support Specialist):
- Creates and proofreads correspondence
- Schedules meetings, prepares agendas and meeting materials.
- Captures key notes and actions in various meetings.
- Organizes and maintains files, both hard copy and electronically (as appropriate).
- Maintains committee lists.
- Inputs, closes and updates actions and notes in the database.
- Directs phone calls and visitors to appropriate staff.
- Analyzes data, summarizes lists and information and creates reports for leadership.
- Coordinates materials for donor visits.
- Assist human resources in onboarding all new hires in the department.
Responsibilities (Event Coordinator):
- Manages calendar of all current events and their due dates and prepares needed materials for event committee meetings.
- Performs research on new prospects for events and pulls address lists for event invitations.
- Assists with or coordinates events as needed, event details, set up, planning, etc.
- Prepares reports on results of events and records information into the database.
- Acts as a resource for special projects as directed
Additional Duties and Responsibilities:
- Assists annual fund staff when needed.
- Performs other duties as assigned.
Knowledge Requirements: Requires strong organizational skills, knowledge of administrative practices, policies and procedures. Possesses good computer skills – is proficient in the use of Microsoft Word, Microsoft Excel, Access, and has knowledge of PowerPoint. Previous experience with database donor software is a plus. The applicant needs good interpersonal skills, excellent verbal and written communication skills along with exceptional attention to detail.
Job Related Experience: Prefer an associate’s degree or certification/licensing in administrative functions and over one year comparable experience.
Physical Demands: Job is physically comfortable; individual is normally seated and has discretion about walking, standing, etc. Individual may occasionally lift very lightweight objects.
