Position Description:
The Aquatic & Fitness Coordinator interacts with and aids Severna Park Community Center’s aquatic and fitness customers by addressing inquiries, and resolving customer complaints; helps to keep online systems operational; and administratively supports two aquatics/fitness department leads to conduct general aquatics/fitness operations. The ideal candidate must be a dynamic multi-tasker and available to work evenings and weekends as needed.
Duties/Responsibilities:
1. Customer Service. This position supports customer service needs for a busy aquatics and fitness operation, working with the aquatics and fitness leadership team to:
- Interact with customers via telephone, email, or in person to provide support and information specific to aquatic and fitness programs/operations;
- Field customer questions and complaints; when and as needed discusses with the director and or manager;
- Ensure that appropriate actions are taken to resolve customers’ problems and concerns.
2. Technical/Online Support. This position supports technical/online needs to:
- Maintain the aquatic & fitness sections of an organizational online scheduling and registration system, completing daily updates as needed;
- Assist with entering new class schedules and fees, linking registration and web services, working directly with the manager of community outreach and marketing.
3. Administrative Support. This position supports aquatics and fitness administrative needs, assisting with:
- Maintaining and supporting swim lesson schedules and daily aquatic program and pool operations;
- Interactions with front desk team to ensure they have current aquatic and fitness operational information, including schedule changes;
- Acting as liaison between aquatics and other SPCC departments to answer operational questions and resolve discrepancies;
- Keeping rental contract files, including securing and storing certificate of insurance compliance, and preparing invoices for aquatic and fitness rentals;
- Assisting aquatic leads with aquatic and fitness program scheduling and registration reconciliation;
- Maintaining inventory of supplies for aquatics & fitness, working with the director to place orders as needed to keep the department’s programs running smoothly;
- Filing, reports, and other administrative work;
- Participating in and providing customer service and administrative reports for aquatic and fitness leadership team meetings, as necessary;
- Performing other duties as assigned.
Skills/Abilities:
- Excellent verbal and written communication skills including active listening.
- Service-oriented and able to resolve customer grievances.
- Proficient in Microsoft Office with the ability and willingness to learn new software.
- Strong organizational skills and attention to detail.
- Ability to work independently.
- Able to work evenings and weekends as needed.
Education and Experience:
· High school diploma required.
· 3-5 years of customer service experience required.
Physical Requirements:
· Prolonged periods sitting at a desk, using the telephone, and working on a computer.
