Assistant Office Manager (OM) - Full-Time
Pay: starting at $24.50 per hour, non-exempt

A large Jewish synagogue located in the heart of the Longwood Medical Area, just a few minutes from Fenway is looking for an Assistant Office Manager. This candidate will possess a high level of professionalism, foresight, organization, and independence. This person is seen as the face of the congregation, greeting members coming into the building, and knowing the schedule of events for each day. This position is part of the Facilities Team, reporting to the Director of Facilities.
Role duties include:
- Temple Office Operations Oversight: Managing office supplies/inventory, copy room/reception equipment, ticketing system management and assignments, and vendor relationships. Ownership of lobby, reception, mail, and copy room as a professional and clean space with particular care for welcoming congregants and guests.
- Security: Manages badging system (new badge, deactivation, printing), helps secure camera footage during security breaches, assists Director of Facilities around issues with burglar alarm/access control/camera feeds. Has a discerning eye for security and works closely with leadership and security personnel to uphold a safe entrance to the Temple.
- Front Desk Duties: Answering phone system and directing appropriately; screens incoming calls and reporting to leadership with any concerns. Comfort working in a high-traffic environment greeting both staff and visitors. Maintains an ability to work with a diverse group of people (older adults, children, English as a second language, etc.) and multi-task in a busy office. Ensures mail and parcel area is organized, and ensures part-time staff are maintaining high standards for the office.
- Staff Supervision: Coordinating receptionist staff schedules, assigning facilities tasks (via requests and tickets), and ensuring security/events/facilities staff are on time for their shifts.
- Policy and Procedure Implementation: Improving and enforcing office policies and procedures, namely around visitor/vendor/congregant visits and their registration.
- Project Coordination: Supporting of internal facilities projects, coordination with events coordinator, and assistance with office and Temple improvements. Ability to creatively problem-solve and independently work.
- Facilities Management: Coordinating with the Facilities team and Director of Facilities to handle deliveries and vendor work. Primary contact person for activities on eSpace, our internal event calendar. Daily checks of event details + maintaining the facilities event board. Takes a leading role in ensuring the events calendar is updated and accurate.
- HR Support: Assisting with onboarding new employees or handling basic HR tasks.
- Growth: Perform other related duties as requested and anticipate role growing.
QUALIFICATIONS:
Must have strong organizational and multitasking skills, with the ability to manage front desk responsibilities while supporting overall office operations. Excellent communication and interpersonal skills are essential for greeting visitors, handling phone calls, and coordinating with internal staff. Communicates effectively in a manner that conveys respect, sensitivity, and professionalism. Proficiency in office software (e.g., Google Suite) and prior experience in an administrative or office management role are required. The successful candidate will understand that they are the face of the organization and the first connection with the community we serve. Minimum of three years of front desk and office experience.

Schedule:
● 6 hour morning shift, 5-9 hour afternoon/evening shift, weekends flexible
● TI is open 7 days per week with fluctuating hours. This position requires schedule flexibility, as our operations run seven days a week. Work hours may vary from week to week, including weekends and potentially different shifts. Arrangements with the Director of Facilities can ensure a healthy balance of schedule familiarity with work balance. Position shall not exceed 40 hours per week nor fall short of 32 hours per week.
