The Bilingual Receptionist/Office Assistantis responsible for providing telephone answering and receptionist services. In addition, the receptionist provides administrative secretarial support to facility administrative staff.
- Provides telephonic support by answering telephones in an appropriate, courteous, professional and timely manner.
- Ensures appropriate back up coverage for the telephones is secured when away from the office.
- Assists with updating and disturbing employee telephone directory on a regular basis.
- Provides quality customer service to all staff, vendors and visitors.
- Provides administrative secretarial support to staff as requested.
- Ensures that mail is properly prepared and sent to and picked up from the post office on a daily basis.
- Ensures that deliveries of packages, supplies, orders, etc. are distributed to appropriate departments in a timely manner.
- Ensures that incoming faxes are distributed to the proper corresponding individuals in a timely manner.
- Ensures that administrative offices are clean and presentable for guests, visitors, and staff.
- Ensures there are always current employment applications available at the Front Desk for distribution and forwards the completed application to Human Resources.
- Maintains administrative filing in a timely manner.
- Invoicing with Quick Books as needed, calling and collecting when payments are due.
- Keep daily maintenance logs on Fleet.
- Other duties as assigned.
Requirements:
-Able to work in a fast paced environment- 1-2 years experience
- Superior customer service skills, professional appearance and demeanor
- Able to think on your feet and make decisions quickly
- Ability to pay attention to detail
- Be a team Player- Bilingual (Preferred)
Job Type: Full-time
Pay: $9.00 - $12.00 per hour
