Locally Owned Food Equipment Sales and Service Franchise looking to hire experienced Bookkeeper.
We are seeking a detail-oriented and organized Bookkeeper to join our team. The ideal candidate will be responsible for maintaining accurate financial records, managing accounts payable and receivable, and ensuring compliance with accounting standards. This role is essential for the smooth operation of our financial processes and will involve working closely with various departments to support their accounting needs.
RESPONSIBILITIES:
Daily Duties:
- Works on site at our office in Salinas
- Monday through Friday 8am-4:30pm
- Invoice cash, charge, warranty and service agreement reports
- Close service calls in our Servtrac service management system (training provided)
- Pick up and merge daily deposits
- Process warranty and service agreement claims deposits and adjustments
- Make change orders as needed with the bank
- Help cash applications with customer accounts receivable invoices
- Prepare and invoice monthly service agreement billing
- Invoice equipment sales contracts
- Balance check register daily
- Maintain general ledger
- Issue OSI purchase orders
- Push GL transactions, post deposits
- Make GL bank transactions, adjustments as needed
- Prepare various reports
Weekly Duties:
- Every Tuesday and Friday merge counter sales for cash application deposit
- Enter payroll data into Amtech GL
- Close internal service calls
Monthly Duties:
- Prepare and invoice monthly service agreement billing
- Prepare service agreement renewals and offers for Service Manager to review
- Reconcile bank statements monthly
- Prepare monthly aged receivables report
- Prepare and mail/email monthly customer statements
- Conduct monthly and annual period closings, prepare reports as needed
- Prepare complete and submit Sales & Use Tax payments for CA, IL, WA, AZ, NV and TX as well as maintain sales tax registration and nexus monitoring
- Prepare monthly sales commission report for payroll
- Balance petty cash
- Change call numbers in Servtrac service management system
- Add new OSI purchase ledger and file
- GL entries for parts department service agreement, betterment, physical inventory, variance data
- Balance claims GL account
Quarterly Duties:
- Prepare and submit quarterly IRS and FTP tax payments
- File California sales and use tax
- File nexus state sales tax for WA, AZ, NV, TX
Annual Duties:
- Prepare and submit tax year end documents for accountant
- Prepare various reports and documents for insurance renewal
- Schedule insurance meetings
- Maintain OSHA and employment documentation
Other Duties:
- Maintain worker’s compensation injury and illness filings
- File business insurance claims
- Retrieve messages from phone system every morning
- Log overtime and service requests into Servtrac service system
- Assist with answering phone lines, dispatching technicians and parts department as needed
- Enter serial numbers from equipment vendor invoices
- Add/maintain customer data in Servtrac service system
- Assist executives with other job duties as needed
QUALIFICATIONS:
- High school diploma or GED
- Previous Bookkeeping experience required
- Proficiency in Microsoft Dynamics or similar accounting software is preferred
- Strong understanding of accounts payable and accounts receivable processes
- Knowledge of general accounting principles and practices, including technical accounting skills
- Excellent attention to detail and organizational skills to manage multiple tasks effectively
- Ability to work independently as well as part of a team, demonstrating strong communication skills
- Familiarity with sales tax regulation
- Ability to maintain sales tax registration and payment there of in CA, WA, NV, AZ and TX

- On site at office Monday to Friday, 8am-4:30pm
