Position Summary Information
Responsibilities
We are seeking a detail-oriented, self-motivated Box Office Manager to lead our ticketing operations and patron and volunteer communication efforts. This role is central to ensuring a smooth and professional experience for our audience, from ticket purchase to event day, and is ideal for someone who thrives in a multi-tasking, front-facing environment.
Key Responsibilities:
Ticketing & Patron Management:
- Manage all aspects of event creation and ticket building using Salesforce and Emma platforms. Updating events to website, and Facebook Events.
- Handle ticket tracking, reporting, and sales through our ticketing system.
- Oversee all patron communications through the ticketing software, including day-of-show emails and event-specific details.
- Coordinate Annual Membership ticket sales, including the pre-sale process and seating chart management.
- Track and maintain membership records via Excel; assign or update seating arrangements for members and corporate sponsors. Working with the DSU Foundation to maintain accuracy on membership donations.
- Ambassador program management, training and scheduling.
Box Office Operations:
- Open and close the box office, including cash drawer balancing, bank deposits, and reporting.
- Oversee and manage box office staff schedules, shift duties, and overall performance. Including the BPAC Ambassador program.
- Ensure accurate cash handling and daily sales reconciliation.
Administrative Support:
- Handle purchase orders, payment requests, and general administrative duties.
- Respond to emails, phone calls, and messages in a timely and professional manner.
- Serve as the receptionist at the front desk, providing exceptional customer service to patrons and guests.
- Prepare and mail correspondence, including letters and ticket mailings.
- Employee time tracking and submissions.
- Help BPAC team with day-of-show duties.
Qualifications
Qualifications:
- Proficient in Salesforce and Emma, or strong ability to self-train through tutorials, help guides, and video resources.
- Excellent organizational skills and attention to detail.
- Strong multitasking skills in a fast-paced environment.
- High proficiency with computers and software systems.
- Excellent written and verbal communication skills.
- Reliable, professional, and comfortable in a front-facing customer service role.
- Experience with ticketing platforms is preferred.
Additional Expectations:
- Must take strong ownership in self-training and learning the ins and outs of the ticketing system independently.
- Comfortable proofreading and accurately entering data such as patron names and phone numbers.
- Willingness to work event hours, including evenings and weekends as needed.
Must be able to meet deadlines in a fast-paced environment and proactively plan ahead by understanding the BPAC calendar, especially in preparation for peak busy seasons.
Salary
Commensurate with experience, qualifications, and university’s resources.
