OVERVIEW: The Business Operations Manager serves on the administrative team of Augustine Classical Academy. He/she is responsible for supporting the school’s administrative and operational effectiveness. He/she establishes best policies and procedures for human resources, manages the front office staff and systems, oversees facilities management, and identifies ways for the school to enhance operational effectiveness in order to achieve the school’s mission of equipping students to know, love and practice what is true, good and beautiful.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Business Operations and Office Management
- Hire, train and manage the front office team; Oversee reception, ACA main line, student health and attendance tracking, etc.
- Support a culture of professionalism (among employees) and robust hospitality (for prospective families, guests, parents, etc.).
- Crosstrain front office staff for copier repairs, ink orders, purchasing requests, etc.; Oversee (non-curricular) supply management and office equipment (copiers, routers, cameras, etc.).
- Manage vendor relationships.
- Maintain Walkie Talkies and rules of use.
- Oversee regular campus cleaning and maintenance.
- Manage distribution of school keys.
- Help to ensure campus security (in coordination with the Executive Director); Manage emergency notification system.
- Assist with technology needs (wireless network, email, printers, etc.); Serve as Google Workspace Administrator.
- Assist with campus event planning and coordination in conjunction with Parent Council and ACA administrators.
- Manage incidental FACTS charges in coordination with ACA bookkeeper.
Human Resources and Insurance
- Research and implement best human resource policies, systems, and processes.
- Facilitate hiring procedures (job postings, receiving and sorting applications, prescreening, updating employee contracts, preparing contract proposals for new employees, etc.).
- Maintain staff files.
- Manage employee onboarding (new employee paperwork, background checks, orientation, etc.).
- Conduct annual review and quote solicitation for employee benefits with insurance brokers; Facilitate annual benefit open enrollment process; Maintain the relationship between employees and benefits provider.
- Manage disability claims, workers comp, and FAMLI leave.
- Facilitate retirement plans (CO Secure Savings and 403b).
- Track governmental compliance requirements such as COBRA, EEOC reporting, FMLA.
- Ensure payroll manager has necessary data to set up payroll (salaries, benefits, deductions, etc.); Manage timesheets for hourly employees.
Finance and Donor Services
- Manage the donor CRM.
- Input contributions into the donor CRM (or designate a front office staff member to do so).
- Manage donor receipting and acknowledgement (in coordination with executive director and bookkeeper).
- Coordinate with the bookkeeper on receivables and payables.
- Deposit checks into ACA bank account; cut and sign ACA checks as needed.
ESSENTIAL SKILLS AND EXPERIENCE:
Bachelor’s degree in business, finance, human resources management or related degree; General knowledge of humanresource management and business operations; Working knowledge of Microsoft Office and Google Suite applications; Strong organizational skills; Adept at interpersonal and written communication; Commitment to classical Christian education and ACA mission; Evidence of mature Christian faith and ability to affirm ACA Statement of Faith and Employee Standards of Conduct.
BENEFITS
$52,000-$65,000 annual salary, depending on qualifications and experience
PTO: four full days per year (in addition to days the school is closed)
