Position Overview
Cultivate Initiatives is seeking a highly motivated and experienced Database Manager to oversee the organization's critical databases including ServicePoint HMIS, Apricot 360, and others. The Database Manager will play a pivotal role in maintaining data integrity, optimizing database performance, generating accurate reports, establishing data management procedures, ensuring compliance with all government contract reporting requirements, and collaborating with various departments to ensure seamless data operations. Additionally, this role will involve supporting the Director of IT in various IT-related tasks, including account administration and IT project coordination.

Duties/Responsibilities
Database Management
- Administer and maintain the organization's databases, ensuring data accuracy, security, and integrity.
- Regularly monitor and optimize database performance to enhance system efficiency and responsiveness.
- Collaborate with end-users and stakeholders to understand data requirements and implement effective database solutions.
- Troubleshoot and resolve database-related issues promptly, ensuring minimal downtime.
Contract Compliance
- Maintain an understanding of government contract data reporting requirements
- Perform regular inspections and appraisals of data collection and entry processes to ensure effective contract compliance, identify potential gaps in compliance procedures, and apply appropriate measures to correct instances of non-compliance.
- Monitor processes to identify and resolve risks associated with non-compliance
Data Integrity and Reporting
- Create, update, and maintain accurate and consistent data records within databases.
- Generate and distribute regular and ad-hoc reports, providing insights to support decision-making processes.
- Implement data quality checks and validation procedures to ensure reliable and accurate data.
Process Development and Documentation
- Develop and document database management procedures, data entry protocols, and best practices.
- Establish guidelines for data standardization, naming conventions, and data governance.
Collaboration and Training
- Collaborate with cross-functional teams to understand their data needs and provide database-related support.
- Train staff members on proper data entry and usage to maintain data quality and consistency.
IT Support and Collaboration
- Assist the Director of IT in managing IT-related tasks and projects, including account administration and access control.
- Collaborate with IT team members to ensure a smooth integration between database systems and other IT infrastructure.
Qualifications
- Strong understanding of data management principles, including data security, integrity, and quality.
- Excellent analytical and problem-solving skills to troubleshoot and resolve database issues.
- Strong communication skills to collaborate effectively with diverse teams and convey technical concepts to non-technical stakeholders.
- Detail-oriented mindset with the ability to manage and document processes.
- Prior experience in non-profit or social service settings is a plus.
- Experience in IT support and project coordination is desirable.
Preferred Skills
- Bachelor's degree in Computer Science, Information Technology, or related field (or equivalent experience).
- Proven experience (3+ years) in managing and administering complex databases, including hands-on experience with systems like ServicePoint HMIS, Apricot 360, and organizational databases.
