Role Purpose
The Contract Auditor/Trainer will serve two roles: educating and training BJC employees on BJC’s Contract Management policies and systems and validating that team members have completed the required due diligence when executing a contract. Training will include in-person and virtual training on policies and how to use BJC’s contract management system. Validating that contract due diligence has been performed will include auditing approximately 200 contracts/month, identifying clerical and critical errors, documenting, and communicating those errors to the contract owner, and following up on needed corrections.
Responsibilities
- Review of executed contracts daily to confirm Sourcing team members properly entered contract data into BJC’s Contract Management System. This includes reading contracts to validate commencement date, termination date, renewal option, termination rights, termination notice days, contract paper type, party names, contract type, etc.
- Review of executed contracts daily to confirm compliance with BJC’s contract management policy and that Sourcing team members completed all required due diligence when executing contracts. This includes confirming Sourcing team members properly assessed the Legal risk of a contract; properly determined if any supporting contracts are required; obtained necessary departmental approvals, obtained adequate proof of insurance and certificates of good standing, etc.
- Generation of performance reports on a weekly/monthly basis documenting Sourcing compliance to policy/processes and following up with Sourcing team members to correct errors Auditor/Trainer cannot resolve.
- Training HSO and Shared Service employees on the requirements of BJC’s contract management policy, and training Supply Chain, HSO, and Shared Service employees on how to use BJC’s contract management system (searching and workflow functionality).
- Assisting with the management of Contract Lifecycle Management email inbox as needed including loading executed contracts into BJC’s management system, responding to contract inquiries, etc., and developing and creating reports in BJC’s Contract Management system. Excel proficiency required.
