Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support, ensuring smooth office operations and contributing to the overall efficiency of our organization. This role requires a proactive individual who can manage multiple tasks while maintaining a high level of professionalism and confidentiality.
Responsibilities
- Perform general administrative duties including filing, data entry, and managing correspondence.
- Prepare and send Purchaser Orders to suppliers upon instructions from Procurement Team
- Prepare packing list, order confirmation documents for dispatch.
- Provide customer support by addressing inquiries and resolving issues in a timely manner.
- Maintain organized files and records, ensuring easy access to information.
- Utilize QuickBooks for basic bookkeeping tasks as needed.
- Support the team with various projects and tasks as assigned.
- Collaborate with other departments overseas to facilitate communication and workflow.
Skills
- Proven experience as a personal assistant or in an administrative role.
- Proficient in Google Suite applications (Docs, Sheets, Drive) and computer literacy is essential.
- Familiarity with QuickBooks is a plus but not mandatory.
- Strong proofreading skills with attention to detail.
- Excellent organizational skills and ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, with a customer-focused attitude.
- Experience as a shipping clerk or in customer support is advantageous but not required.
