Summary
Under the supervisor of the Executive Director of Real Estate and Facilities, the Director of Facilities is responsible for overseeing facilities operations, managing facilities budgets, directing routine maintenance, responding to emergencies, managing risk, managing contractors, overseeing security, and conducting site inspections.
Essential Duties/Accountabilities
- Oversees building facilities operations, including, but not limited to:
- Repairs
- Refurbishments
- Maintenance of mechanical, electrical, fire safety, plumbing and waste management systems.
- Ensures building operations meet service standards and comply with all local laws and regulations.
- Creates functional strategies and specific objectives for the assigned project or projects.
- Oversees work order management, delegation of work and tracking of completion.
- Reviews and approves estimates, purchase orders, invoices.
- Budgets annual capital projects and maintenance expenses.
- Provide direction for all 3rd Party and in-house preventative maintenance plans.
- Works with Procurement and Operations teams to RFP and contract service-related vendors leveraging our national footprint.
- Develops and oversees scheduling and deployment of required inspections for fire safety systems, elevators, and all building management systems.
- Ensures compliance of fire systems inspections, repair, upgrades, and monitoring.
- Provides support during company development activities including acquisitions, dispositions, and new builds.
- Prepares assets for natural disasters and emergencies.
- Develops long and short-range maintenance plans/programs (e.g., emergency response plans, energy management plans, annual budget, etc.) for ensuring that Company resources are effectively utilized.
- Inspects new construction, repair works, projects, equipment, work orders, daily maintenance and supplies to ensure that jobs are completed efficiently; specifications capital improvements are within local/state/federal regulations; and approving inspection reports and payment requests.
- Perform on-site inspections of facility construction, alterations and repairs to ascertain adherence to safety practices, including handling hazardous materials and operating equipment being used in projects. Monitors budgets for assigned projects and related financial activity to ensure expenditures are within approved limits and confirm fiscal practices are followed.
- Participates in meetings, workshops and seminars for conveying and/or gathering information required to perform functions.
- Responsible for mitigating, identifying and reporting safety risks when notified or while on-site.
- Continuously works to gain certifications related to OSHA standards, laws, regulations, affecting areas of safety, health, and the environment.
- Adheres to Federal, State and local building, safety and health codes, occupational hazards and safe work practices.
- Acts as the Facilities Department's primary lead on the Company's Safety program and related Safety Committee.
- Review and advise on all elements of the Company's Safety Program to ensure continuous improvement and provide recommendations to management as needed.
- Performs appropriate personnel functions (e.g., interviewing, evaluating, supervising, etc.) to maintain adequate staffing while enhancing productivity of personnel and achieving objectives within budget.
- Ensures adherence to established internal controls.

- Performs other related duties, as assigned, to ensure the efficient and effective functioning of the department.
Supervisory
Manages all employees of the department and is responsible for the leadership of such employees.
Work Environment
- Regularly required to work in an office, warehouse, or outdoor environment.
- Regularly travels to Company locations and works in offices and other warehouse/storeroom environments.
- Required to travel between sites in all types of weather conditions.
Physical Demands
- Must be able to frequently lift to 25 pounds.
- Required to stand sit or walk, climb, kneel, crouch, or crawl.
- Able to utilize a computer keyboard, computer monitor, and telephone for prolonged periods of time.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- Occasional exposure to toxic or caustic chemicals.
Travel
Travel may be required up to 50% of the time. Travel is frequently outside the local area and overnight.
Required Education and Experience
- High School Diploma or GED required.
- Bachelor's Degree or equivalent experience preferred.
- Five years' experience in multi-site building maintenance and construction which involved facility planning, construction, administration of maintenance and facilities programs and operations.
- Proficiency in Microsoft office applications (e.g., Word, Excel, Outlook).

- Knowledge base for improvement processes to ensure efficient operation of facilities.
- Knowledge based on applicable regulations and laws.
- Experience in B2B retail and distribution environment preferred.
- Ability to read and understand building blueprints.
- Strong interpersonal, negotiating and communication skills required.
- Ability to collaborate with others in a wide variety of circumstances and problem solving to analyze issues and create action plans.
- Must be proficient in speaking, reading, and understanding English to ensure full compliance with safety standards, training, policies, and procedures.
