Position Overview
We are hiring a full-time team member to join our office as an Document Specialist. The ideal candidate is detail-oriented, highly organized, and comfortable handling legal documents, communicating with clients, courts, and attorneys, and managing multiple tasks simultaneously. This position plays a vital role in the intake process, legal coordination, and client communication throughout the eviction cycle.
Key Responsibilities
- Open and process new eviction files; ensure all required documentation is collected.
- Verify and enter client and case information accurately into internal systems.
- Prepare and file eviction petitions and writs of possession in compliance with legal standards.
- Prepare Notices
- Serve as a key point of contact for clients and court personnel.
- Manage inbound and outbound phone calls and emails in a professional, service-oriented manner.
- Follow up on cases to ensure timely resolution and keep clients informed.
- Maintain organized records and case documentation.
- Perform general office duties, including data entry, scanning, and filing.
Required Qualifications
- 2+ Years Document Management
- 3+ years of customer service experience via phone and email (preferred)
- Bachelor’s degree preferred.
- Real estate, property management, or legal support experience strongly preferred.
- Excellent verbal and written communication skills.
- High attention to detail and strong organizational skills.
- Proficient in Microsoft Word, Excel, PDF forms, email, and internet navigation.
- Ability to work independently and manage multiple tasks simultaneously.
Additional Requirements
- Valid driver’s license.
- Valid auto insurance.
- Reliable transportation and ability to travel throughout the Houston metro area if needed (very limited travel)
