Job Summary:
The Event Assistant plays a key role in supporting the successful planning and execution of events, from corporate conferences to social gatherings. This is an excellent entry-level opportunity for enthusiastic individuals looking to start their career in event management. No prior experience is required—we provide training! The Event Assistant will assist with logistics, vendor coordination, attendee engagement, and on-site operations, ensuring seamless events that leave a lasting impression.
Key Responsibilities:Pre-Event Support:
- Assist the Event Assistant team in researching venues, obtaining quotes, and coordinating with vendors (catering, AV, decor).
- Support the Event Assistant in managing attendee registrations, RSVPs, and inquiries via email or phone.
- Help prepare event materials such as badges, signage, and promotional items under the guidance of the Event Coordinator.
On-Site Event Execution:
- Work as an Event Assistant to set up event spaces, including seating arrangements, registration desks, and signage.
- Greet attendees, assist with check-ins, and provide directions or information as needed.
- Troubleshoot minor issues (e.g., seating adjustments, schedule delays) and escalate concerns to the Event Manager.
Post-Event Tasks:
- Assist the Event Assistant team in packing up materials, conducting post-event surveys, and gathering attendee feedback.
- Support the Event Assistant in compiling reports on attendance, expenses, and key takeaways for future improvements.
Administrative & Coordination Duties:
- Maintain event databases, update contact lists, and assist with scheduling meetings for the Event Manager.
- Help track budgets, process invoices, and ensure timely payments to vendors.
Skills & Qualifications:
- Education: High school diploma required; degree in Event Management, Hospitality, or related fields is a plus but not mandatory.
- Experience: No prior experience needed, freshers and entry-level candidates are encouraged to apply!
- Soft Skills: Strong organizational skills, friendly demeanor, and ability to multitask in a fast-paced environment.
- Technical Skills: Basic proficiency in Microsoft Office (Word, Excel). Familiarity with event tools (Eventbrite, Cvent) is a bonus.
