Job Summary:
We are seeking a passionate and detail-oriented Event Coordination Intern and On-Call Staff member to assist in planning, organizing, and executing events. This is a unique opportunity to gain hands-on experience in event management while supporting our team in delivering high-quality events. The role combines internship responsibilities with flexible, on-call availability for event days.
Responsibilities as an Intern:
- Assist the Event Coordinator in planning and organizing events, including weddings, corporate functions, and private gatherings.
- Support vendor coordination, including communication, follow-ups, and documentation.
- Help with preparing event timelines, layouts, and checklists.
- Attend meetings with clients to gather requirements and provide support.
- Maintain and organize event materials, supplies, and inventory.
- Assist with administrative tasks, client communication, including calls, email correspondence, scheduling, and data entry.
- Conduct research on venues, vendors, and event trends to improve services.
As On-Call Staff:
- Assist in the setup and breakdown of event spaces, including tables, chairs, decor, and AV equipment.
- Greet and direct guests, ensuring a positive and professional experience.
- Coordinate with vendors during events to ensure smooth execution.
- Address any issues that arise during events promptly and professionally.
- Support cleanup and reset of spaces following events.
- Maintain a strong understanding of event layouts, client needs, and emergency procedures.
Qualifications:
- Current student or recent graduate in Event Management, Hospitality, or a related field (for internship position).
- Availability to work flexible hours, including evenings, weekends, and holidays.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Ability to work effectively under pressure in a fast-paced environment.
- Detail-oriented with a proactive and problem-solving attitude.
- Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace.
- Physical ability to lift and carry up to 25 lbs and stand for extended periods.
Preferred Skills:
- Previous experience in event planning, hospitality, or customer service.
- Familiarity with event management software or tools.
- Creative mindset with an eye for aesthetics and design.
Work Environment:
This role involves a combination of office-based work (internship tasks) and on-site support for events. The on-call nature requires flexibility and availability based on event schedules.
Compensation:
- Internship: Hourly rate or school credit, depending on program requirements.
- On-Call Staff: Competitive hourly rate, commensurate with experience.
