Job Overview:
The Venue Coordinator is responsible for overseeing the venue on the day an event occurs, assisting vendors with their event needs, and ensuring the event runs smoothly. The Venue Coordinator reports to the Event Manager and works closely with clients and vendors during the day of the event to ensure that all details are managed, and the venue operates efficiently.
Key Responsibilities:
- Venue Coordination:
- Coordinate the setup and breakdown of events, including arranging furniture, decorations, and equipment as per client specifications.
- Ensure the venue is clean and well-maintained before, during, and after events to include checking bathrooms, kitchen spaces and common areas.
- Monitor the venue's technical equipment, lighting, sound systems, and other resources.
- Manage the event timeline and ensure that everything runs according to schedule.
- Client and Vendor Relations:
- Serve as a venue point of contact for clients and vendors during the day of the event.
- Foster positive relationships with vendors, ensuring they meet venue requirements and expectations.
- Provide excellent customer service to clients and guests, ensuring a positive experience.
Skills and Experience:
- Minimum 1+ year experience in event planning, coordination, or hospitality.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Problem-solving skills, with the ability to remain calm under pressure.
- Ability to work flexible hours, including evenings and weekends.
- Attention to detail and a strong commitment to customer satisfaction.
- Physical demands include lifting up to 40lbs, standing for long periods, and coordinating event setups.
Schedule:
- The position will require working evenings, weekends, and holidays depending on event schedules.
