Position Summary
Teksouth is seeking a highly organized and detail-oriented Executive Admin Assistant to provide daily onsite support for our client at Andrews AFB. This role is crucial for the efficient operation of a high-level office, involving direct support to leadership, management of classified information, and oversight of the organizational task management system.
Responsibilities
Operate in a secure environment, handling classified documents and sensitive topics.
Manage the Task Management Tool (TMT) or equivalent task management system, overseeing task acceptance, assignment, monitoring deadlines, and completion.
Send task reminders via email and coordinate with Commander's Critical Execution (CCE) to ensure timely task completion.
Collect, organize, and analyze data to recommend actions to the Director of Staff.
Upload data and responses into the task management system.
Prepare and route electronic staff summary sheets for leadership coordination and signatures.
Draft and coordinate memoranda for record and signature.
Assist users with task completion by coordinating with points of contact or offices of responsibility for clarification.
Manage organizational workflow, email distribution lists, and correspondence to ensure timely actions and responses.
Create meeting slides and task status reports for leadership review.
Manage calls, visitors, appointments, schedules, and staff meeting inputs/outputs, notifying leadership of required actions and executing directions.
Maintain and distribute key personnel rosters and contact lists quarterly or as needed.
Provide backup administrative support to senior leadership, overseeing daily workflow and communication.
Maintain office procedures, records, and files to ensure efficient operations.
Qualifications
Bachelor's degree with 6 years of relevant experience, OR 10 years of relevant experience in lieu of a degree.
Experience with the Department of Defense (DoD).
A military background is highly preferred.
Proficiency with the Task Management Tool (TMT).
Proficiency in Microsoft Office Suite and Adobe programs for creating reports, spreadsheets, databases, and presentations.
Strong problem-solving and analytical skills, with the ability to develop actionable plans.
Effective communication skills with a high degree of tact and professionalism.
Proven ability to prioritize, organize work, and meet deadlines in a fast-paced environment.
