WHO WE ARE LOOKING FOR
Social Services is committed to providing exceptional service to many diverse communities, residents and businesses. The Social Service Office provides leadership oversight and serves as the appointing authority for both County and State Programs. An experienced Executive Administrative Aide is needed to manage administrative tasks, logistics, arrange for facility needs, and serve as a liaison between the director's office, community, County executive's office, and state Agencies. The position will provide direct support to the social services office and Children, Youth and Family Service (CYF) areas, managing calendars and events, tracking documents, and following up with inquiries. The preferred candidate will prioritize, refer, respond to, and take appropriate action on all documents submitted to the offices for processing and tracking. The candidate will serve as the first point of contact for the social services Officer and the CYF Chief.

What You'll Be Doing

As the Executive Administrative Aide, responsibilities include, but are not limited to:


  • Serves as a liaison between the director's office, the community, the County Executive's office, state agencies, and the Governor's constituent services offices.
  • Provides direct office support to the social services office and Children Youth and Families Services (CYF), managing calendar, events, tracking documents, and following up with inquiries. Screens all incoming telephone calls, documents, and correspondence to the Social Services and Children Youth and Families services areas.
  • Provides intakes and manages constituent services issues and follow up with internal and external customers.
  • Manages constituent services, referrals, collaborating with community stakeholders, etc.
  • Provides administrative support, including routing Memoranda of Understanding (MOUs), grants, and contracts; formats and edits memoranda, meeting coordination, etc.
  • Coordinators and serves as the first point of contact for the Social Services officer, staff, and other county employees, outside agencies, elected officials, and the public
  • Performs fiscal duties, projects, and other office responsibilities such as ordering supplies, preparing mileage reports, handling mail, managing work calendars, etc.
  • Performs other job-related duties as assigned.

Minimum Qualifications

Experience: Five (5) or more years of administrative aide experience at the executive level.

Education:
Graduation from high school or High School Certificate of Completion recognized in the State of Maryland.

Equivalency:
An equivalent combination of experience and education may be substituted.

  • Do you have progressive experience in providing executive administrative office support?
  • Do you have experience in Business management or health and human services-related fields?
  • Do you have experience in providing support to multiple executive-level positions?
  • Do you have experience working with a culturally diverse population and providing excellent customer service?

Please note that we will use the following preference criteria for interview selection:

  • Demonstrating strong oral and written communication skills
  • Demonstrating the proficient use of Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook) and other electronic automated systems
  • Administrative knowledge in managing and tracking policies, rules, regulations, and procedures governing the initiation, preparation, and processing of administrative actions. MOUs, Contracts, Grants, and Memoranda
  • Demonstrating a wide range of knowledge encompassing the administrative processes, such as policies, rules, regulations, and procedures, governing the initiation, preparation, and processing of administrative actions, preferably related to county government
