ABOUT THE JOB
We’ve built a successful, fast-growing company and need an amazing Executive Administrator to help the founder and executive team scale the business.
The Executive Administrator is a very unique position at Human Communications Institute. It is a blend of an executive assistant with great people skills, an “implementer”, and a project manager who can help see critical tasks through to completion. In other words, we’re looking for an awesome, “right-hand person” for the executive team.
In this role, you’ll have an opportunity to learn about advanced communication, marketing, personal growth, and leadership. In addition, you’ll have an opportunity to meet and interact with some of the most successful and innovative people in the country.
Some of the specific job duties include the following:
- Email and Administrative Tasks: If you have an inbox overflowed with hundreds of unread emails, this position isn’t for you. You’re the first point of contact for the executive team, and you will handle vendors and some customer service. A well-organized inbox with scheduled follow-ups and task reminders is your default state.
- Calendar Management: You’re in charge of managing all speaking engagements and appointments for our CEO and on-stage talent Michael Bernoff, negotiating times, handling last minute changes and cancellations, and preparing all meeting information so Michael can focus on the purpose of the meeting. This includes the agenda, time zone, directions, meeting participant details, and any key background information.
- Systems: You will need to create systems, checklists, workflows and templates. You’ll be figuring out how to do things effectively and then document those procedures. You will ensure that files get named according to our standard naming convention and filed in the proper location in our online storage.
- Personal Items: You’ll assist Michael and other executives with personal items. The foundation of our business is personal connections and relationships, so naturally the executive team’s personal life is an extension of the business. You’ll help book all travel and vacation plans, schedule handymen and deliveries, coordinate parent-teacher conferences, etc. Your job is to integrate the personal and business calendars for Michael, and handle all the small details so he and the team can focus on the business.
- Affiliate Relationships: You’ll assist in building relationships with potential and current partners. As one of the preeminent experts on influence and communication, Michael meets and connects with a large number of well-connected and influential business leaders, industry titans, politicians, and celebrities. After he connects at an event or speaking engagement, it is your job to help him work through the list of “people to contact” to reinforce the connection, nurture the relationship, and develop affiliate relationships where applicable.
Below are the characteristics and qualifications we are seeking for the Executive Administrator:
- A college degree is preferred but not required.
- 5+ years of experience as an Executive Administrator/Assistant in a growing and fast-paced environment.
- Ability to work effectively and efficiently with computers, software and the internet.
- Ability to work quickly and precisely while managing multiple tasks and details.
- Ability and willingness to take control.
- Ability to work under tight deadlines and under pressure.
- Ability to work weekends from time-to-time.
- Excellent multitasking, planning and organization skills.
- Strong verbal and written communication skills.
- Strong interpersonal skills.
Job Type: Full-time
Pay: $70,000.00 - $90,000.00 per year
