Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional administrative skills and demonstrate a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can handle sensitive information with discretion while providing comprehensive support in a fast-paced environment.
Responsibilities
- Manage and maintain the executive's calendar, including scheduling appointments and coordinating meetings using Outlook Calendar.
- Organize and plan events, ensuring all logistics are handled smoothly and efficiently.
- Serve as the primary point of contact for internal and external communications, demonstrating excellent phone etiquette.
- Assist in project coordination by tracking deadlines, deliverables, and progress updates.
- Transcribe meeting notes and prepare reports or presentations as needed.
- Provide administrative support, including filing, data entry, and maintaining organized records.
- Collaborate with team members to ensure seamless operations across various departments.
- Utilize QuickBooks for basic financial tracking and reporting as required.
Qualifications
- Proven experience as an Executive Assistant or in other administrative roles.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, particularly Outlook Calendar, Word, and Excel.
- Experience in event planning is preferred but not mandatory.
- Familiarity with project coordination methodologies is a plus.
- Ability to maintain confidentiality and handle sensitive information responsibly.
- A proactive approach to problem-solving with strong decision-making capabilities.
