About the Role
We're looking for a sharp, highly organized Executive Assistant to support a founder and CEO managing a real estate investment company, a family office, and an active personal life. This is a unique opportunity to build the role from the ground up and help bring structure, follow-through, and peace of mind to a fast-moving entrepreneur. You’ll work both independently and in close partnership—taking over calendar, travel, bill pay, event logistics, and helping bring order and efficiency to systems already in place. This is ideal for someone who thrives on variety, is confident owning outcomes, and has strong judgment when handling sensitive business and personal matters.
Key Responsibilities
- Manage and coordinate a dynamic calendar across business and family priorities
- Book and optimize business and personal travel (including international, private, and points-based)
- Assist with light personal bookkeeping (bill pay, expense organization, receipt tracking) using QuickBooks Online
- Organize digital files across Dropbox and Google Drive, ensuring naming consistency and retrievability
- Coordinate with vendors, contractors, and service providers for home or business projects
- Draft emails, create task lists, and help prepare materials for meetings or events
- Schedule and coordinate external meetings with attorneys, lenders, brokers, and partners
- Support family logistics, gifting, school calendars, trip planning, and reminders
- Help refine and document recurring systems and SOPs when appropriate

- Tech-savvy and organized—strong proficiency in: Google Workspace, Dropbox, DocuSign, QuickBooks Online
- Comfortable navigating both professional and personal worlds: you might set up a capital call meeting one hour and arrange a family trip the next
- Strong written communicator with professional polish and a proactive mindset
Location & Schedule
- Ideally in-office (Fresno, CA), with flexibility to work remotely part of the time
- Looking for 10–20 hours/week to start, with room to grow
- Regular check-ins (2–4x/week) preferred; occasional meetings or errands may require
local presence
Bonus Points
- Experience in real estate, high-net-worth family office, or entrepreneurial environments
- Prior EA, Chief of Staff, or Personal Assistant experience with strong references
- Familiarity with managing private travel and/or expensing hybrid business/personal trips
Job Types: Full-time, Part-time
Pay: $20.00 - $28.00 per hour
Expected hours: 20 – 30 per week
