WFIM Is currently seeking an Executive Personal Assistant. This position will report to the CFO and assist all executives, including providing personal assistant duties to top executives.
To Succeed in the Role:
The candidate should be high-energy, proactive, and a quick learner who can comfortably handle high-level executives. This candidate must have excellent communication skills (both verbally and written) and be able to work autonomously. The position requires attention to detail and organizational skills. The ability to meet deadlines, juggle multiple requests, and complete projects quickly with little to no supervision is crucial. The ideal candidate will be able to work with various personality types and have high integrity and discretion in handling confidential information.
Duties and Responsibilities (including, but not limited to:)
- Participate as an integral part of the team, assisting all corporate family office personnel and the executive team.
- Handle all personal and business schedules.
- Business and personal travel arrangements, including a travel book with all details of schedules, agenda, and travel confirmations.
- Drafting Letters and agendas
- Extensive use of Microsoft Office will be required.
- Performs other tasks as assigned or requested.
Required Skills
- Exceptional communication skills in the English language, including reading, writing, and speaking.
- Exceptional organization skills and professionalism.
- Extensive Microsoft Office (Excel, Word, Publisher). Some Adobe experience is preferred.
- Must stay focused with great attention to detail, speed, and accuracy.
- Able and willing to field calls in off hours and weekends
- Experience coordinating calendars, travel accommodations, and events
- Ability to draft professional letters and create presentations
- Ability to prioritize and operate with minimal supervision and have a level of creativity
- Must be flexible and able to change gears quickly
- Strong desire to learn and grow in the position
- Willingness to work with many personality types and maintain professionalism and confidentiality
- Exercise confidentiality and discretion at the highest level.
Required Experience
- Associate degree preferred
- A minimum of 5+ years in a high-level administrative role in an executive capacity is required.
- Experience with personal finance accounting a plus
Job Type:
- Full-time, Monday through Friday, 8:30 am to 5:00 pm, with flexibility to be available outside of standard work hours based on situational demands.
- In-person working from the office in Ybor - THIS IS NOT A REMOTE POSITION
Job Type: Full-time
Pay: $50,000.00 - $65,000.00 per year
