Executive Assistant & Outreach Coordinator to the Head of School
Location: Alpharetta, GA
Schedule: Full-Time, In-Person (7:30 AM – 4:25 PM, Monday–Friday)

We are seeking a proactive, detail-oriented, and personable Executive Assistant to the Head of School who will play a pivotal role in both administrative support and advancing the school’s outreach, enrollment, and engagement initiatives.
Position Summary:
The Executive Assistant serves as a strategic partner to the Head of School, supporting key responsibilities with professionalism, discretion, and a growth mindset. This role blends high-level administrative tasks with a focus on relationship-building and advancement, including enrollment leadership, community engagement, and institutional outreach.
The ideal candidate will bring experience in advancement office, admissions, or nonprofit development, and thrive in a dynamic school setting where collaboration, initiative, and flexibility are essential.
Key Responsibilities:
Administrative & Executive Support
- Manage the Head of School’s calendar, communication, and scheduling needs with accuracy and efficiency
- Prepare and organize meeting agendas, take minutes, and monitor follow-up items
- Respond to communications on behalf of the Head of School, maintaining a high level of professionalism
- Coordinate logistics for board meetings, school events, and public engagements
Outreach & Advancement Engagement
- Serve as a visible and welcoming point of contact for prospective families and community partners
- Lead campus tours and represent the school with warmth, professionalism, and deep knowledge of its mission and programs
- Collaborate with Advancement and Admissions teams to support recruitment events, donor relations, and public relations activities
- Contribute to stewardship efforts, such as personalized outreach to families and alumni, and assist with school branding and marketing efforts
Enrollment Leadership
- Oversee the admissions process from inquiry to enrollment, guiding families through each step with attentiveness and care
- Track application data, follow up with prospective families, and support strategic recruitment goals
- Help maintain enrollment-related materials, digital content, and school profiles in coordination with marketing staff
School Operations & Institutional Support
- Support daily school functions including arrival/dismissal duties and office coordination
- Step in as needed to assist with school operations during staff shortages or special events
- Promote a positive, organized, and welcoming office environment for all visitors
Qualifications:
- Bachelor’s degree required; degree in education, communication, or nonprofit management preferred
- Demonstrated experience in school advancement, outreach, or admissions strongly preferred
- Previous experience as an Executive Assistant, Advancement Associate, or in a related role
- Excellent verbal and written communication skills; ability to engage with diverse audiences
- Exceptional organizational skills and attention to detail; ability to manage multiple priorities with discretion
- Tech-savvy, with proficiency in Google Workspace and Microsoft Office; experience with student information or donor management systems is a plus
- A team-oriented mindset with flexibility to adapt in a fast-paced school environment
Work Schedule & Compensation:
- Full-time, in-person role from 7:30 AM to 4:25 PM, Monday through Friday
- Salary Range: $50,000 – $65,000, commensurate with qualifications and experience
