The Role
You will keep the CEO’s world running at peak efficiency, balancing multiple priorities with ease and discretion. You will anticipate needs before they arise, solve problems before they escalate, and help ensure the CEO’s time is focused on the highest-value initiatives.
Key Responsibilities
- Serve as the CEO’s strategic partner, managing schedules, priorities, and communications with accuracy and confidentiality.
- Oversee complex calendar management, ensuring meetings are prioritized and time is allocated effectively.
- Coordinate high-level internal and external meetings, including agenda preparation, materials, and follow-up actions.
- Manage travel from start to finish — flights, accommodations, ground transportation, and on-site logistics — ensuring smooth execution.
- Prepare and refine executive-level reports, presentations, and communications that reflect the company’s professionalism.
- Attend regular check-ins with the CEO to align on priorities, review upcoming commitments, and adjust plans as needed.
- Process CEO expenses promptly and accurately using company systems.
- Maintain organized and secure records of documents, meeting notes, and communications for easy reference by leadership.
- Support preparation for public appearances, industry events, and high-stakes meetings.
- Track and coordinate strategic projects, ensuring milestones are met and communication flows seamlessly between stakeholders.
- Build strong relationships across the business to foster collaboration and problem-solving.
- Step into special initiatives with initiative, resourcefulness, and a solutions-first mindset.
What We’re Looking For
- Bachelor’s degree in business administration, communications, or related field (or equivalent combination of education and executive-level experience).
- 5+ years supporting senior executives, ideally in a fast-paced corporate or manufacturing environment.
- Proven ability to manage shifting priorities while meeting tight deadlines without losing detail.
- Exceptional written and verbal communication skills; able to represent leadership with professionalism.
- Integrity and discretion when handling sensitive information.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and fluency with Microsoft Teams.
- Strong project coordination skills, with the ability to track progress and ensure follow-through.
- Adaptability and composure under pressure; able to pivot quickly when plans change.
