Job Description

We are seeking a highly skilled and experienced Finance Project Coordinator to join our dynamic team. This multifaceted role provides comprehensive administrative and project management support to our CFO and broader Finance Team. This role ensures efficient organization, clear communication, timely project execution, and accurate delegation of tasks and responsibilities.

Key Responsibilities

  • Provide high-level administrative and project management support directly to the CFO, including calendaring, coordinating meetings, managing and triaging emails, and attending meetings as proxy when necessary.
  • Act as the primary point of contact and first line of defense for inquiries related to finance projects and requests.
  • Drive finance projects from initiation through completion, ensuring timely and efficient delivery.
  • Proactively organize and manage daily, weekly, and monthly finance-related tasks and priorities using Asana, ensuring consistent tracking, clarity and timely completion.
  • Determine appropriate task delegation within the finance team in collaboration with the CFO.
  • Coordinate and facilitate finance project meetings, preparing agendas, documenting minutes, and ensuring follow-up actions are tracked and completed.
  • Create and maintain clear project status reports and communications to inform the CFO and relevant stakeholders regularly.
  • Assist in the preparation and editing of business documents, presentations, and reports utilizing advanced proficiency in MS Office (Word, Excel, PowerPoint).
  • Coordinate and manage vehicle and housing lease arrangements, including contract administration, renewals, negotiations, and addressing maintenance or compliance matters as needed.
  • Identify and address potential issues or delays proactively, ensuring stakeholders remain informed.
  • Manage and prioritize multiple tasks and projects with high attention to detail and deadlines.
  • Handle heavy communication via email, text messaging, voice and video calls.
  • Handle regular activities without prompting and advise in advance of issues or delays.
  • Build strong relationships at all levels of the organization and manage a variety of special projects when asked.
  • Responsive and proactive, with the ability to work well under tight deadlines and respond to rapidly changing demands and priorities from multiple leadership team members.
  • Strong organizational, analytical, customer service, and problem-solving skills that reflect ability to perform and prioritize multiple tasks independently and seamlessly with good judgement.
  • Attend to specialty projects and tasks, as assigned.
  • Minimum travel required (less than 5%).

Qualifications

  • Bachelor's degree in Business Administration, Finance, Management, or a related field.
  • A minimum of 3-5 years of experience in administrative and project management roles, preferably within the finance field.
  • Demonstrated proficiency in using Asana for project management.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint) and other business software.
  • Exceptional organizational, time-management, and analytical problem-solving skills.
  • Excellent verbal and written communication abilities.
  • Experience managing multiple concurrent projects within a fast-paced, fluid, and dynamic environment.
  • Strong attention to detail and ability to work independently, to be resourceful with minimal supervision, and to work as part of a team.
  • High degree of professionalism, responsive, proactive and adaptable to changing priorities and tight deadlines.
  • Ability to exercise discretion and maintain confidentiality in handling sensitive information.

Preferred Experience

  • Previous experience supporting a senior executive, director or team.
  • Familiarity with business finance concepts, tools and workflows, including budgeting, reporting and financial operations.

Salary and Benefits

  • Salary $55,000 - $65,000/year
