Job Summary:
TL Schwab Transport, a growing local trucking company specializing in aggregate hauling, feed & grain hauling, tanker hauling, refrigerated hauling & other regional freight, is seeking a detail-oriented and hands-on Fleet Service Planner to oversee the maintenance, safety, and compliance of our vehicle fleet. This position ensures that all trucks and trailers operate efficiently, safely, and in accordance with DOT regulations, while minimizing downtime and repair costs and helping maintain an efficient & smooth workflow within our shop & parts department.
Key Responsibilities:

o Work directly with our Shop & Equipment Manager to set schedules for customers &TL trucks & mechanics
o Work directly with the Shop & Equipment Manager & the Parts & Inventory Coordinator to make sure that parts are enterprised between customers & TL, & that parts are scheduled to arrive based on service schedule & key projects
o Track, follow & oversee the billing process between TL’s shop service agreement with customers
o Track, follow & oversee (with assistance from the shop equipment manager) any outside work being completed on customer & TL trucks, including any warranty work
o Work closely with the shop team to ensure all PMs are being scheduled & completed. Work with the dispatching team to develop back up plans to minimize customer impact
o Work with the shop team to ensure DOT compliance
o Communicate with the shop of any driver related equipment issues (door latches, windows, seats, seatbelts, lights, heat, etc)
o Work with the Shop Manager to ensure that SquareRigger is up to date, accurate & being completed for work orders & for inventory purposes. Use the reporting features to track repair costs for each truck & for mechanic/driver effectiveness.
- Inventory & Cost Control:
- Manage parts inventory, service tools, and purchasing in a cost-effective manner.
- Track maintenance costs, warranty recovery, and analyze cost-saving opportunities.
- Maintain accurate service records in fleet management software.
- Vendor & External Relationships:
- Manage relationships with outside service providers, parts suppliers, and dealerships.
- Negotiate service contracts and evaluate vendor performance.
Qualifications:
- High school diploma or GED required; technical degree or ASE certification preferred.
- 3+ years of experience in fleet maintenance or service management, preferably in the trucking or logistics industry.
- Strong knowledge of diesel engines, trailers, and related commercial vehicle systems.
- Familiarity with DOT/FMCSA regulations and maintenance recordkeeping.
- Experience using fleet management or maintenance software (e.g., Fleetio, Toro, Squarerigger, TMW, Samsara).
- Excellent organizational and leadership skills.
- Ability to communicate clearly with drivers, mechanics, and upper management.
- Valid driver’s license required; CDL a plus.
Working Conditions:
